Job Summary:
The Client Visit Enablement Analyst provides comprehensive logistics support for client visits. This role ensures seamless coordination of venues, transportation, food, materials, and technology, acting as the operational arm of the Client Visit Enablement Lead.
The following tasks are part of the Client Visit Enablement Analyst’s scope, but not limited to:
Track and update logistics progress in the Workplan, including reference tickets for preparation and execution.
Coordinate with support teams (e.g., Workplace Ops, Security, ISA, M&E, Business Units) to ensure timely execution.
Secure and confirm venues via Places based on the visit agenda (e.g., plenary, breakout, client townhall).
Ensure venue setup aligns with planned activities (e.g., boardroom, townhall, lunch, floor walk).
Coordinate approved Welcome Packs/Souvenirs, including delivery logistics.
Secure and test visitor badges, ensuring proper labeling and access functionality.
Coordinate Welcome Screen setup with ISA/MST for approved venues.
Arrange dedicated elevator access for external clients, in coordination with Security.
Manage offsite lunch/dinner reservations and propose meal menus based on dietary preferences.
Generate and print individual Wi-Fi credentials for guests; ensure functionality and have backups available.
Coordinate with drivers for guest pick-up, arrival, departure, and any schedule changes.
Collect and consolidate visit feedback from stakeholders and guests.
Track and update total logistics-related visit expenses, ensuring accurate reporting.
Education Requirement:
Must have:
Minimum bachelor’s degree
Internal:
May consider non bachelor’s degree but with relevant work experience
Skills and Qualifications:
Must Have:
1–2 years of experience in client visit management or related logistics coordination
Experience in handling logistics, including transportation, security, and hospitality
