We are a growing online services company specializing in customer-focused post-job quality control and sales follow-ups for residential and commercial services, including holiday lighting installations. Position Overview:

We are seeking a proactive and organized Virtual Assistant to manage various tasks related to customer relations, quality control, and estimates for holiday lighting installations. This role involves handling follow-ups with customers, managing holiday light design estimates, and performing administrative tasks using CRM tools. The ideal candidate should possess excellent communication skills, have a knack for customer service, and enjoy learning and growing into the role.

Key Responsibilities:

  • Post-Job Quality Control: Follow up with customers after job completion to ensure satisfaction, request reviews, ask for referrals, and manage invoices as needed.
  • Estimate Preparation: Use software to create virtual holiday light estimates based on customer property photos and prepare proposals with visual mock-ups.
  • Estimate Follow-Up: Track and follow up on outstanding estimates, ensuring timely communication to close deals.
  • CRM Management: Use CRM platforms (Workiz and GoHighLevel) to track and manage estimates and follow-ups.
  • Process Documentation: Document all processes to ensure consistency and scalability for future team members.
  • Miscellaneous Tasks: Handle additional administrative tasks as assigned.


Qualifications:

  • Proficiency with Gmail and Google Calendar.
  • Excellent written communication skills in English.
  • Strong organizational skills and attention to detail.
  • Ability to handle multiple tasks and work independently.
  • Familiarity with CRM platforms, Notion, Asana/Monday.com, or Microsoft Suite is a plus.
