Role: Virtual Assistant - Client Care Coordinator
What You'll Do
- Respond promptly to new client inquiries via phone, email, text, and web platforms (e.g., Grasshopper, Gmail, Jane App)
- Schedule and confirm intake consultations; follow up with no-shows and reschedules
- Use HubSpot to track and manage prospective client leads, update contact records, and support marketing efforts
- Maintain up-to-date intake calendars and coordinate with clinical intake specialists
- Share mental health-related posts and clinic announcements to various Facebook groups, helping to promote our services and engage with the broader community
- Ensure accurate intake documentation and insurance verification processes
- Monitor and prioritize daily intake flow using provided templates and scripts
- Escalate urgent inquiries appropriately and liaise with team members for client support needs
- Assist with client follow-up, intake progress tracking, and administrative reporting as needed
- Experience in a customer service, administrative support, or healthcare setting
- Sales experience is a strong asset, particularly in helping prospective clients make informed decisions about services
- Proficiency with HubSpot CRM is required(or demonstrated ability to learn quickly).
- Comfortable using Facebook to post and engage in groups as part of outreach and marketing efforts
- Strong written and verbal communication skills
- Exceptional organizational skills and attention to detail
- Tech-savvy and confident using tools such as Gmail, Google Drive, Jane App, and Microsoft Office
- Compassionate, professional, and able to handle sensitive information with confidentiality
