Role Overview

We are seeking a highly organized and proactive Virtual Assistant with expertise in project management, digital marketing, and client communication. The ideal candidate will have strong skills in Microsoft applications and will play a critical role in supporting the day-to-day operations, managing calendars and emails, and maintaining seamless communication with our clients.

Key Responsibilities:

  • Project Management:
  • Assist in coordinating and managing ongoing projects, ensuring deadlines are met and stakeholders are updated on progress.
  • Track and manage project deliverables using tools like Microsoft Project, Asana, or Trello.
  • Assist in preparing project reports and updating status reports for the team.
  • Microsoft Applications:
  • Proficient use of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) to handle various administrative tasks.
  • Create, edit, and format documents, spreadsheets, and presentations as needed.
  • Manage and organize data in Excel, ensuring accuracy and accessibility for the team.
  • Digital Marketing Support:
  • Assist with content creation, including drafting social media posts, newsletters, and email marketing campaigns.
  • Help monitor and manage client’s online presence, ensuring our content is aligned with brand guidelines.
  • Support in managing and analyzing digital marketing performance through tools such as Google Analytics or social media dashboards.
  • Calendar and Email Management:
  • Manage and organize the calendars of key team members, scheduling meetings, appointments, and calls.
  • Proactively prioritize tasks and manage inboxes to ensure prompt and effective communication.
  • Client Communication:
  • Serve as a liaison between the company and clients, ensuring professional and timely communication.
  • Assist in responding to client inquiries, following up on requests, and coordinating client meetings.
  • Ensure clients are kept updated on project milestones and deadlines.


Key Qualifications:

  • Proven experience as a Virtual Assistant, Executive Assistant, or in a similar administrative role.
  • Strong project management skills with the ability to multitask and manage priorities effectively.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Experience in digital marketing, including social media management and email marketing.
  • Exceptional organizational and time management skills.
  • Strong communication skills, both written and verbal, with a client-focused approach.
  • Ability to work independently
  • Willing to work onsite and adaptable to work on the night shift


Preferred Skills:

  • Familiarity with accounting or finance-related projects is a plus.
  • Experience with project management tools
  • Knowledge of basic graphic design or content management tools like Canva, WordPress, or Mailchimp is a bonus.
