Job Overview:

Responsible for overseeing and managing company's overall supply chain and logistics strategy and operations in order to maximize the process efficiency and productivity. Plays a crucial role in developing and maintaining good relationships with vendors and distributors, ensuring cost-effective purchasing, inventory control, and enhancing the overall supply chain operations. Also, spearhead initiatives to improve the sustainability, digital transformation, and risk management of the supply chain.

Job Descriptions:

  1. Purchasing Management
    1. Oversee all aspects of the purchasing function.
    2. Contributes to the development and implementation of policies and procedures for the cost-effective purchase, receipt, custody, and issue and cost control of materials, equipment and services.
    3. Ensures the proper receipt, custody and issue of materials, goods, equipment etc. within all Departments.
    4. Communications with suppliers with regards to delivery commitment schedules.
    5. Assures that all purchase delivery should meet to attain the maximum efficiency and cost effectiveness.
    6. Ensures to keep the satisfaction of internal customers by attaining quality purchases and efficient procurement cycle time.
    7. Develop and maintain strategic relationships with key suppliers
  2. Inventory Management
    1. Ensures attainability of required inventory stock level.
    2. Reviews and analyze the future demand trend vs. forecast.
    3. Manages pull in and rush delivery request for any critical materials.
    4. Ensures that inventory accuracy is met
  3. Cost Control
    1. Communicates simultaneously with suppliers for any discrepancy.
    2. Reviews item master pricelist. (both local and imported items)
    3. Contributes to effective operation in order to achieve efficient way of job completion
    4. Conducts negotiation of payment terms with suppliers to achieve efficient cash flow.
    5. Review annual budget for the whole supply chain
  4. Importation
    1. Oversee supplier’s delivery commitments with the end users.
    2. Contribute with the development and implementation of an import/export standard operating procedure and their holistic business impact.
  5. Forecasting and Demand Planning
    1. Coordinate with interfacing department in formulating re-order point of items/stocks
    2. Oversee working forecast for the quarter.
    3. Reviews and validate sales movement in relation with the forecast generates.
    4. Drive collaboration between Sales, Supply Chain, Finance and Operations in future business projects and their holistic business impact.
    5. Develop routine and demand related reports for management.
  6. Warehouse and Logistics
    1. Oversee that quality inspection is done and ensures that the product conforms.
    2. Oversee that proper storage is strictly followed depending on product temperature requirements.
    3. Oversee proper product handling is strictly practiced in compliance to product specifications.
    4. Oversee if proper replenishment of products is correct (first in, first out/ FIFO, first expiry, first out / FEFO).
    5. Oversee all prepared items for delivery are properly packed to sustain the integrity of the products.
    6. Makes sure that all facilities in the warehouse are in good running condition.
    7. Leads needed planning activities on strategic planning and exercises such as but not limited to annual business planning, strategic planning session, project management, budget planning, business continuity planning, capacity planning, among others.
    8. Develops and directs programs to ensure the efficient and cost-effective operation and utilization of facility.
    9. Strategize cost reducing tactics and efficiency improvement.
    10. Recommend optimal transportation modes, routing, equipment, or frequency.
    11. Analyze all aspects of corporate logistics to determine the most cost-effective or efficient means of transporting products or supplies.
    12. Review national, or regional transportation or logistics reports for ways to improve efficiency or minimize the environmental impact of logistics activities.
  7. Customer Service
    1. Oversee customer service objectives by contributing customer service information and recommendations to strategic plans and reviews.
    2. Identifies customer service trends and determines system improvements.
    3. Oversee all complaints and queries.
    4. Helping to build good customer relations.
  8. Manpower Development
    1. Conducts weekly summary meetings for the jobs done, pending and plan for the next week.
    2. Conducts one on one special performance review with each staff. To review the areas for improvements for each staff.
    3. Recommends and conducts training and seminars that staff needs.
    4. Works with staff to share information and ensure consistency of systems and processes and adherence to policy and procedures.
  9. Quality Management System / ISO
    1. Assist in documentation of processes and activities.
    2. Prepare manual, forms, process flow and other documentation based on ISO standards.
    3. Conduct awareness and training to employees and management
    4. Make recommendations on the systems and procedures being reviewed, report findings and subsequent implementation of any recommendations.
    5. Promote, and implement quality management policy, procedures and processes to employees and management.
  10. TRACC – ERP Management
    1. Recommend set-up for Supply Chain Management.
    2. Assist TRACC Administrator to set-up ERP System based on company standards
    3. Review internal system to fit-in with TRACC Programs.
    4. Attend meeting with TRACC Developer.
  11. Sustainability and Ethical Sourcing
    1. Ensure suppliers adhere to ethical labor practices and support the company's corporate responsibility goals.
  12. Risk Management
    1. Identify potential risks in the supply chain and develop contingency plans to address them
    2. Monitor market conditions, geopolitical risks, and supplier dependencies to proactively mitigate disruptions.
  13. Digital Transformation and Technology Integration
    1. Lead digital transformation initiatives within the supply chain, focusing on automation, real-time tracking, and data analytics.
    2. Collaborate with IT teams to enhance ERP systems and implement advanced technologies like AI, machine learning, and blockchain to streamline operations and improve transparency.
  14. Implement sustainability initiatives, such as reducing waste, minimizing carbon footprint, and sourcing from eco-friendly suppliers.

  1. Data Analytics and Continuous Improvement
    1. Utilize data-driven approaches to analyze supply chain performance and identify areas for improvement.
    2. Track key performance indicators (KPIs) such as inventory turnover, order accuracy, and procurement costs.
    3. Continuously refine processes to enhance efficiency and adaptability

Qualifications:

  • Bachelor’s Degree in Industrial Engineering, Supply Chain Management, or a related field;
  • Strong understanding of ERP systems (e.g., Oracle, SAP);
  • Proficiency in supply chain management software and analytics tools;
  • Knowledge of import/export regulations and compliance;
  • Excellent problem-solving and critical-thinking skills;
  • Strong leadership, communication, and interpersonal abilities;
  • Ability to work under pressure and manage multiple projects simultaneously.
