Job Summary
The Payroll Specialist is responsible for the accurate and timely processing of end-to-end payroll for employees in the Philippines. This role requires in-depth knowledge of statutory and regulatory requirements in the Philippines’ jurisdictions, including government-mandated benefits, loans, and year-end reconciliation. The ideal candidate will ensure compliance with all relevant laws and company policies, maintain data privacy and provide exceptional support to employees regarding payroll matters.

The Payroll Specialist is responsible for the accurate and timely processing of end-to-end payroll for employees in the Philippines. This role requires in-depth knowledge of statutory and regulatory requirements in the Philippines’ jurisdictions, including government-mandated benefits, loans, and year-end reconciliation. The ideal candidate will ensure compliance with all relevant laws and company policies, maintain data privacy and provide exceptional support to employees regarding payroll matters.
Key Responsibilities
Philippines
- Process end-to-end payroll for Philippine ensuring accuracy and compliance with local regulations.
- Administer government-mandated benefits and deductions for the Philippines, including SSS (Social Security System), HDMF (Pag-IBIG Fund), PhilHealth, and BIR (Bureau of Internal Revenue) requirements.
- Manage SSS loan and HDMF loan applications, deductions, and remittances, including MP2 (Modified Pag-IBIG II) contributions.
- Knowledgeable in SSS Maternity Benefit and Sickness Benefit Computation
- Knowledgeable in tax annualization and preparation of statutory reports such as the BIR Alphalist, BIR 1601C, BIR 2316, BIR 1604-E in compliance with Philippine tax regulations.
- Ensure timely and accurate remittance of payroll taxes, social security, and other statutory contributions.
- Preparation of final pay and year-end tax reconciliation
- Participate in statutory audits and ensure audit readiness for payroll-related matters
- Maintain up-to-date knowledge of payroll laws and regulations in the Philippines, and implement changes as required.
- Ensure compliance with payroll related data privacy and security requirements in both countries
- Reconcile payroll accounts and resolve discrepancies in a timely manner.
- Respond to employee inquiries regarding payroll, benefits, and deductions.
- Coordinate with HR, external vendors, and other stakeholders to ensure seamless payroll operations.
- Prepare payroll-related reports and analytics for management as needed.
- Support cross-border payroll coordination and multi-country payroll platform operations as required
- Identify and implement process improvements in payroll operations to enhance efficiency and compliance
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
- At least 3 years of experience in payroll processing, with hands-on experience in both Philippine and Malaysian payroll
- Strong knowledge of Philippine payroll processes, including SSS, HDMF, PhilHealth, BIR, SSS loans, HDMF loans, MP2, and Alphalist.
- Familiar with eFPS, eBIRForms, My.SSS, Pag-IBIG Virtual, and Philhealth portals
- Proficient in payroll software and Microsoft Office applications.
- Basic accounting knowledge, including GL reconciliation and payroll journal entries
- Excellent attention to detail, organizational, and analytical skills.
- Strong communication and interpersonal skills.
- Ability to handle confidential information with integrity and discretion.
- Certification in payroll (e.g., Certified Payroll Professional, Payroll Specialist Certification) is an advantage.
- Experience working with multinational companies or global payroll providers.
- Knowledgeable in other payroll countries
- Demonstrated ability to identify and implement process improvements in payroll operations
