About The Role

Seeking an organized, proactive, and reliable Senior Assistant to help streamline administrative tasks and provide support for business growth activities. Will be providing support in following up with potential customers, social media engagement, and day-to-day operational tasks. The Senior Assistant will be crucial in ensuring these functions run smoothly and efficiently.

Responsibilities

  • Answer phone calls and schedule appointments - to ensure that no potential customer or meeting request is missed.
  • Manage the CRM system, including tracking invoices, active jobs, and maintaining accurate records of customer interactions and transactions.
  • Handle inventory management for various jobs to ensure that materials and equipment are properly tracked and organized.
  • Create and manage social media posts across platforms to enhance online presence and engagement.
  • Update the company website and Google My Business page to ensure accurate information is available to customers.
  • Design and create marketing materials (folders, flyers, etc.) to support the sales team in client outreach and promotions.
  • Proactively suggest improvements and efficiencies to help Karl's business grow and operate more effectively.

Requirements

  • Proven experience in an administrative or assistant role, preferably in a fast-paced environment.
  • Strong organizational and time-management skills.
  • Excellent communication skills (both written and verbal).
  • Proficiency in CRM systems, Google Suite, and Microsoft Office (Word, Excel, PowerPoint).
  • Familiarity with social media platforms (Facebook, Instagram, LinkedIn, etc.) and website management tools.
  • Creative skills for designing marketing materials using tools such as Canva, Adobe Spark, etc.
  • Ability to work independently and proactively identify areas for improvement.
  • Detail-oriented with the ability to manage multiple tasks simultaneously.
