The Ortus Club offers a unique opportunity for experienced sales professionals to develop meaningful relationships with senior executives across industries while playing a key role in shaping high-level business conversations worldwide.

The Role

  • BGC, Taguig (hybrid)
  • 10 AM - 7 PM PHT

This role reports directly to the Head of Sales and helps their sales team stay organized and have their administrative tasks in order. They should also align with their counterparts in the other region to ensure that business processes are consistent.

Responsibilities

  • Support the team with all their needs to help increase sales (for inbound and existing clients), particularly with administrative tasks such as taking meeting notes, creating proposals, drafting agreements, conducting feasibility studies with the help of the research team, updating deals, and revising contracts.
  • Ensure that all inbound leads from enquiry forms, [email protected] email, calendar booking, brochure and other marketing downloads, website chats, etc. are kept track on State of Sale.
  • They should also create deals on HubSpot and assign them accordingly to Client/Sales Directors.
  • Monitor leads that are not being contacted and chase the assigned Client/Sales Director to reach out to them as soon as possible
  • Ensure that all properties of the deals are updated. This includes but is not limited to the deal status, closed date, probability, amount, deal owner/source/manager, meetings notes, associated contacts, and other important information about the deal.
  • Update the ‘Client’ tab and the ‘Client Contacts’ tab on State of Sale and their contact information on Hubspot. This involves informing the respective Client/Sales Director about their clients who have recently changed their role.
  • Assign tasks for Client/Sales Directors on HubSpot to ensure they follow up on key opportunities and prevent potential opportunities from being overlooked.
  • Ensure that Client Directors/Account Managers conduct debrief meetings with clients who have no other active deals after completing a deal, and verify that the debrief meeting field is filled out correctly.
  • Remind the team to submit their event reviews and feedback on time
  • Assist the Head of Client Relations in communicating any changes, new initiatives, and tasks to the entire sales team
  • Perform other necessary administrative tasks such as data entry, putting together presentations, gathering numbers/data for monthly and quarterly sales reports, etc.
  • If they have the bandwidth, support the team by running other sales campaigns.
  • Assign marketing leads to outreach sequences as needed
  • Keep abreast of all new processes and adopt them accordingly.
  • Update Deal Master on State on Sale at least weekly

Qualifications

  • Experience in sales support, administrative roles, or similar positions.
  • Proficiency with CRM tools like HubSpot and sales management systems.
  • Excellent organizational skills and attention to detail for tracking leads and updating records.
  • Outstanding English communication skills, both written and verbal.
  • Ability to create proposals, draft agreements, and prepare presentations or reports.
  • Familiarity with data entry, lead management, and task assignment processes.
  • Proactive and adaptable, with the ability to manage multiple tasks efficiently.
