Role Summary

The Resource and Administration Coordinator in Group IT plays a pivotal role in optimizing the allocation and utilization of IT human resources encompassing both staff and contractors, to support Keep Lights On (KLO) activities, Minor Works, and IT projects. This position ensures the IT department operates efficiently by overseeing resource assignments, facilitating seamless contractor onboarding and offboarding, and managing IT-related purchase orders and invoices. Beyond these tasks, the coordinator is instrumental in maintaining robust resource management processes, including the oversight of timesheet completion and accuracy. By ensuring that timesheet entries accurately reflect assigned activities, this role supports effective tracking of resource utilization, precise project costing, and adherence to organizational financial and compliance policies. Through these efforts, the coordinator contributes to operational continuity, project success, and informed decision-making within the Group IT team.

Key Responsibilities

  • Resource Planning and Allocation: Schedule and assign IT staff and contractors to support Keep Lights On (KLO) activities, Minor Works, and IT projects ensuring optimal resource utilisation and alignment with project timelines and business priorities.
  • Resource Administration: Manage the onboarding and offboarding processes for IT contractors, ensuring compliance with organisational policies, IT security standards, and legal requirements. Maintain accurate and up-to-date resource records in collaboration with HR and resource managers.
  • Financial Administration: Process and manage IT-related purchase orders and invoices, coordinating with vendors to ensure timely and accurate payments.
  • Timesheet and Compliance Management: Oversee the completion and accuracy of timesheets for IT staff and contractors, ensuring that entries reflect assigned activities and comply with company policies. Monitor timesheet data to support precise project costing, resource utilisation tracking, and financial reporting.
  • Stakeholder Collaboration: Act as a key liaison between the Group IT team and stakeholders, including project managers, department heads, finance teams, transformation office and external vendors. Facilitate effective communication and coordination to meet resource needs, resolve issues, and align on strategic objectives.
  • System and Process Management: Maintain and update resource management systems (Service Now), and records. Implement process improvements to enhance efficiency and provide training and support to IT staff on resource management and timesheet processes.

Qualifications

  • A bachelor’s degree in business administration, Human Resources, Information Technology, or a related field (or equivalent professional experience).
  • At least 2-3 years of experience in resource management, project coordination, or a similar role, preferably in an IT or technical environment.
  • Prior work with timesheet management, payroll, or financial administration is highly desirable.
  • Resource Management: Proven track record in planning, allocating, and administering resources, ideally in an IT or technical context.
  • Financial Administration: Knowledge of handling purchase orders, managing invoices, tracking budgets, and ensuring adherence to financial policies.
  • Timesheet and Compliance Management: Experience managing timesheet completion and accuracy.
  • Stakeholder Collaboration: Ability to serve as a liaison between departments, ensuring smooth communication and coordination.
  • System Proficiency: Expertise in resource management tools, timesheet systems such as ServiceNow and Microsoft Office Suite (e.g., Excel, Word, PowerPoint).
  • Process Improvement: Background in maintaining systems, implementing enhancements, and providing training or support to team members.
