Representative, Transport Helpdesk

Job Description

The Transportation Desk Associate is responsible for supporting the business travel needs of the company; its employees, clients, and other individuals with company-related travel requirements. The position assists with in-house shuttle booking and vendor management with negotiating and sourcing methods to get more value transport service with cost savings out of the partnership.

  • Transpodesk (Transportation Desk) Associate performs the following:
    • Check, read and answer all incoming emails.
    • Plotting of transportation requests based on the agreed prioritization with the account, department, or stakeholders.
    • Ensure completeness of transport request details:
      • Requester’s complete name and contact details
      • Account or department
      • Date, time, pick-up and drop-off point
      • Type of transportation request
      • POC’s name and contact details
      • Justification/Reason of transportation request
      • Approval from Account or Department Lead
    • Real-time monitoring of all deployed in-house and outsource vehicles—call the driver at least 3 hours before the schedule, know real-time concerns such as delayed pick-up, road situation, additional request, etc. Ensure that all drivers provide updates in the official group chat (Viber, Whatsapp, etc.)
    • Written endorsements via email and Transportation Desk official chatgroup should always be done. Secure confirmation from the team that instructions are read and understood. If not getting any response, call the concerned team member then document the discussion.
  • Attend Weekly Meetings and other required meetings.
  • Perform other Transpodesk related tasks as needed.
