We are expanding our team and are looking for a skilled Real Estate Virtual Assistant to support our agents and ensure smooth operations. This role is perfect for someone who is organized, proactive, and has a passion for real estate.

Job Summary

As a Real Estate Virtual Assistant, you will be responsible for providing administrative support to our real estate team. This includes managing communications, scheduling appointments, conducting market research, and assisting with transaction coordination. The ideal candidate should be highly organized, have excellent communication skills, and possess a strong understanding of real estate processes.

Key Responsibilities

  • Administrative Support: Provide general administrative assistance to real estate agents, including managing emails, preparing documents, and handling communications.
  • Calendar & Appointment Management: Schedule and coordinate meetings, property viewings, and client consultations.
  • CRM Management: Maintain and update the customer relationship management (CRM) system with current client information and status updates.
  • Lead Management: Monitor and respond to lead inquiries, schedule follow-ups, and update leads in the CRM system.
  • Transaction Coordination: Assist in managing real estate transactions from contract to closing, ensuring all paperwork and deadlines are met.
  • Market Research: Conduct research on property listings, market trends, and neighborhood data to support agents in making informed decisions.
  • Social Media & Marketing Support: Assist with social media management, content creation, and other marketing activities to promote properties and services.
  • Client Communication: Handle client inquiries via phone, email, and messaging platforms, providing timely and accurate information.

Qualifications

  • Experience: Previous experience as a Real Estate Assistant, Virtual Assistant, or in a similar role is preferred.
  • Real Estate Knowledge: Familiarity with real estate terminology, processes, and documentation is an asset.
  • Technical Skills: Proficiency in using CRM software, Microsoft Office Suite, Google Workspace, and social media platforms.
  • Communication Skills: Strong verbal and written communication skills in English.
  • Organizational Skills: Ability to multitask, prioritize, and manage time effectively.
  • Attention to Detail: Keen attention to detail with a focus on accuracy and thoroughness.
  • Problem-Solving Skills: Proactive and resourceful, with the ability to handle unexpected challenges.
