As a Recruitment Administrative Assistant, you will support the day-to-day operations of our recruitment function by managing job postings, monitoring application volume, and ensuring candidate information is tracked and organized correctly. This role is operational, detail-focused, and essential to maintaining an efficient and reliable recruiting pipeline.
Note: This role is referred to internally at TalentPop as Sourcing Specialist.

As a Recruitment Administrative Assistant, you will support the day-to-day operations of our recruitment function by managing job postings, monitoring application volume, and ensuring candidate information is tracked and organized correctly. This role is operational, detail-focused, and essential to maintaining an efficient and reliable recruiting pipeline.
Note: This role is referred to internally at TalentPop as Sourcing Specialist.
Responsibilities
- Create, update, and maintain job postings across job boards, the company website, and social platforms
- Review job descriptions to ensure accuracy, clarity, and alignment with hiring needs
- Track incoming applications and sourcing activity using HubSpot dashboards and LinkedIn Recruiter
- Process, tag, and categorize applications accurately and within expected timelines
- Monitor weekly application volume across open roles and flag gaps in candidate flow
- Review application data and sourcing trends to support recruitment planning
- Coordinate with Internal Recruitment Specialists, Department Managers, and the Director of Recruitment on hiring priorities
- Provide regular updates on application volume, sourcing output, and candidate quality
- Support ongoing improvements to recruitment workflows and sourcing processes
- Minimum 1 year experience as a Virtual Assistant, Administrative Assistant, or Executive Assistant OR minimum 1 year experience in a recruitment support or recruitment administrator role with job posting responsibilities
- Recruitment experience is preferred but not required
- Experience with HubSpot, LinkedIn, Excel, and or Google Workspace is a plus
- Strong organizational skills with attention to detail
- Comfortable communicating via Zoom, Slack, and Email
- Willing to work Tuesday to Saturday, Philippine Time, full time
- Strong written and verbal communication skills
- Highly organized and detail-oriented
- Comfortable managing repetitive, process-driven tasks
- Able to work independently in a remote environment
- Reliable, consistent, and accountable
- Receptive to feedback and process improvements
Internet Requirements
- DSL, Cable, or Fiber internet connection with LAN connection required
- Minimum speed of 20 Mbps
- Backup internet connection of at least 5 Mbps
- Desktop or laptop with at least Intel Core i5 or Ryzen 5 and 8GB RAM or equivalent
- Desktop or laptop only, tablets and smartphones are not permitted
- Reliable primary power source with minimal outages
- Backup power source recommended
- Backup work location required during power interruptions
