Purchasing/Procurement Officer (AU Client)

Position Summary:

  • Procure all stocked inventory items when necessary and ensure continuity of supply.
  • Source custom goods when required including negotiating best price and working with lead time needs.
  • Maintain good relationship with all suppliers.
  • Communicate the status of all purchases.
  • Rectify supply issues and discrepancies.

Key Responsibilities:

Import Admin Tasks

  • Once an import PO has been raised, conduct the following:
    > Update Monday.com board
    > Generate quality control doc for PO from template
    > Ensure proforma invoice is received and matches PO
    > Provide Summit & Guard-R accounts with payment details
  • Manage shipment quality control – including requesting mill certs, coating certs etc. and ensuring quality control doc is updated
  • Follow up suppliers for ETDs
  • Track shipments once dispatched and keep Monday.com board updated
  • Follow up suppliers for documentation for customs clearance and provide to freight forwarder
  • Ensure Summit & Guard-R accounts have the correct information to make payments on time
  • Ensure suppliers provide annual packing declarations when they’re due for renewal
  • Get monthly shipping rates from freight forwarders and provide comparison
  • Attend weekly import meetings
  • Check stock and provide suggestions for new shipments (future when have Odoo inventory control)

Local Purchasing Admin Tasks

  • Place stock POs
  • Keep Monday.com up to date
  • Follow up suppliers when stock is overdue

KPIs:

  • Ensure ‘out of stock’ never occurs.
  • Ensure sourcing times always meet required dates.
  • When things go wrong, always provide a solution to correct, however risky it may be.
  • Intend scheduled meetings reliably and on time.

Programs will be used:

  • Monday.com
  • M365 Outlook, Teams, Excel, SharePoint
  • Odoo (future)
  • Unleashed
  • MYOB

Requirements:
• Proven attention to detail and accuracy in data management.

• Action orientated – fast, efficient, ‘get stuff done’ attitude.

• Excellent phone, email, and instant messaging communication and interpersonal skills.

• 3+ Years experience in supply chain and importation.

• Proficiency in data entry.

• Proven knowledge and experience with procurement processes e.g. inventory control, stock reporting and raising purchase orders.

• Strong organizational skills with the ability to manage multiple tasks efficiently.

• Positive attitude, adaptability, and eagerness to learn.

• Ability to thrive in a fast-paced and dynamic environment.

• Commitment to consistently applying and embodying the company Values.

• Effective at planning, task management, and follow-up.

• Positive attitude, adaptability, and eagerness to learn.

• Willingness to work to Australasian Working Hours.

• Willingness to work or relocate in the Angeles City Pampanga Office.
