What is the job?
The Procurement Associate is responsible in supporting daily purchasing and inventory activities by managing purchase orders, coordinating with vendors, and maintaining accurate item and price data. The role ensures timely procurement, smooth cross-department coordination, and organized documentation to support office operations and breakroom supply management.
Responsibilities:
• Prepare, submit, and track purchase orders; confirm pricing, pack sizes, and lead times.
• Communicate with suppliers on availability, pricing changes, discontinued items, shipping updates, and returns.
• Maintain accurate vendor records and item master data, ensuring clean and complete product and pricing information.
• Coordinate with Warehouse on receiving issues and with Customer Service and Sales on stock status, backorders, and special requests.
• Source alternative items, resolve failed order lines, and assist with products not in the database.
• Manage digital filing of POs, vendor documents, confirmations, and product records, and report freight costs above thresholds.
Qualifications:
• Recent graduates from any field are encouraged to apply.
• At least one (1) year of experience in purchasing, procurement support, supply chain assistance, or administrative coordination.
• Experience using Microsoft Excel (filters, sorting).
• Experience using VLOOKUP in MS Excel is a plus.
• Learn Enterprise Resource Planning (ERP) and purchasing systems quickly.
• Demonstrates strong attention to detail with high accuracy in item data, cost updates, and PO entries.
• Must have stable employment history.
