What are we looking for?
We are seeking a highly organized and detail-oriented Investment Operations Associate to support both small- and large-scale projects related to clients' private investment activities. We are looking for someone who brings strong foundational skills and is eager to take on increasing responsibility.
The role involves collaboration across internal teams and external partners, including fund managers, fund administrators, and online portal companies. Our clients invest in private funds, and this role plays a critical part in facilitating their investments. This includes obtaining and preparing documents, coordinating signatures, and securely submitting finalized materials.

Skills Required
- Highly Organized - Proven ability to manage multiple projects, prioritize effectively, and maintain high attention to detail
- Excellent Communicator - Strong written and verbal communication skills; able to convey information clearly and professionally
- Proficient in Excel - Comfortable with everyday Excel tasks including sorting, filtering, formatting, and formulas; macro/programming knowledge not required
- Proficient with Online Portals - Able to confidently log into and work within secure online portals used by fund managers and administrators to upload and retrieve documentation
- Problem Solver - Applies logic, judgment, and data to identify and resolve issues efficiently
- Self-Motivated - Able to take initiative and work independently with limited supervision
- Results-Oriented - Committed to following through on tasks, meeting deadlines, and producing accurate, high-quality work
- Growth-Oriented - Eager to learn, take on new responsibilities, and demonstrate sound judgement with a proactive mindset
- Support Anti-Money Laundering (AML) and Know Your Customer (KYC) documentation requirements
- Collect, review, and manage client information, including investment details, to ensure accuracy and completeness
- Maintain up-to-date records on fund managers and fund administrators
- Collaborate with internal teams and follow up on tasks and projects to ensure issues are resolved promptly and deadlines are met
- Work with external partners such as fund managers, fund administrators, and custodians
- Track, organize, and manage W9 forms and related data; update internal tracking spreadsheets as needed
- Complete subscription documents, redemption forms, and ownership change forms; coordinate signatures and ensure documents are accepted and commitments are finalized
- Submit finalized documents and AML materials securely to external parties
- Track work progress in Excel and update task status in the CRM system
