POSITION PURPOSE

  • As a member of the Student Support Services team, the Pre-Training & Enrolment officer is responsible for providing the best available support to our students and their learning journey. This includes converting registrations to enrolments and ensuring students are given support; both pre and post training commencement. All employees in this position must also act in line with Simonds Group’s values of Integrity, Respect, Loyalty, and Honesty, in addition to the Code of Conduct and Group policies.
  • Proven ability to effectively multitask and prioritise work within a busy environment.
  • Demonstrated ability to work under pressure, and to set targets/KPIs.
  • Professional level written and verbal communication skills.
  • Ability to effectively communicate with a diverse range of internal and external stakeholders, demonstrating patience, acceptance, and tolerance.
  • Strong relationship building skills with expertise in the effective management of diverse internal and external stakeholder groups.
  • Ability to work collaboratively with a variety of stakeholders and teams, as well as autonomously.
  • Minimum intermediate level computer literacy, including the ability to use the Microsoft Office Suite (e.g. Outlook, Excel, PowerPoint, and Word), and well as other applications (e.g. CRM software).

KEY ACCOUNTABILITIES

  • Ensure accuracy of data within the relevant IT systems (e.g. VETtrak, VETenrol, RTOM’S, Salesforce).
  • Provide accurate enrolment advice to prospective students, ensuring that they meet the eligibility criteria.
  • Provide an exceptional level of customer service and a high standard of communication with prospective and current students at all times.
  • Accurately respond to inbound and outbound phone and web-based enquiries within a reasonable timeframe (i.e. 48 hours).
  • Complete Registrations, Pre-Training Reviews, and Enrolments with students via phone.
  • Send and retrieve the enrolment paperwork, ensuring that it is checked and accurately recorded into the relevant system.
  • Review students’ enrolment paperwork for completion and compliance, and that any areas of concerns are addressed with the student or escalated as required.
  • Meet and/or exceed daily Key Performance Indicators (KPIs)/targets.
  • Reliable, punctual and consistent at all times
  • Perform all administration duties with diligence and accuracy.
  • Assist with the implementation and maintenance of continuous improvement plans.
  • Assist with internal audits as requested.
  • Perform data administration when required/requested.
  • Collaborate and consult with the wider BAA team in order to deliver exceptional customer service across all aspects of the student journey.
  • Share information, knowledge, and potential issues with the team and also management in order to maximize efficiency and effectiveness.
  • Participate in team meetings and activities, demonstrating respect and consideration to all parties.
  • Actively contribute to a positive, collaborative, and respectful working environment aligned with the culture and values of Simonds Group.
  • Keep up to date with all Simonds Group policies, practices, and procedures.
  • Always act in the best interest of the company, in line with the Code of Conduct and Group policies.
  • Any other duties as reasonably required/requested
