Job Description: Personal Assistant

The Personal Assistant provides high-level administrative support to the Chief Executive Officer, managing daily operations and ensuring efficient communication and coordination across the organization. This role requires a proactive individual with excellent organizational skills, discretion, and the ability to handle multiple tasks in a fast-paced environment. A background in sales is highly beneficial to support the CEO in client interactions, sales strategies, and business development initiatives.


Your Job Responsibilities Includes:

  • Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Screen and prioritize incoming communications (emails, phone calls, etc.) and respond on behalf of the CEO when appropriate.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Organize and maintain confidential files and records.
  • Arrange and coordinate internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
  • Ensure the CEO is well-prepared for meetings, providing necessary documents and background information.
  • Plan and book all aspects of the CEO’s travel, including flights, accommodations, ground transportation, and itineraries.
  • Handle travel-related issues and adjustments as they arise.
  • Assist the CEO in the execution of special projects, conducting research, and compiling data as needed.
  • Track and follow up on projects and tasks to ensure timely completion.
  • Serve as the primary point of contact between the CEO and internal/external stakeholders.
  • Draft and distribute internal and external communications on behalf of the CEO.


Sales Support:

  • Assist in the preparation of sales presentations, proposals, and reports.
  • Coordinate with the sales team to ensure alignment with the CEO’s initiatives and goals.


Qualifications

  • Bachelor’s degree in Business Administration, Communications, Sales, or a related field preferred.
  • Minimum of 5 years of experience in an executive assistant or similar administrative role.
  • Proven experience in supporting C-level executives is highly desirable.
  • Background in sales or experience in a sales environment is a significant plus.
  • Driver’s License is preferred.


Skills

  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive information with the highest degree of integrity and confidentiality.
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners.
  • Flexibility to adapt to changing priorities and deadlines in a dynamic environment.
  • Familiarity with sales processes.


Working Conditions

  • Full-time position, typically Monday to Saturday.
  • Some flexibility in working hours may be required to accommodate the CEO’s schedule.
  • Occasional travel may be necessary.
