Job Overview
We are looking for an experienced Paralegal to provide essential legal and administrative support in a fully remote role. This position plays a key role in ensuring the smooth delivery of legal services — drafting accurate documentation, coordinating with barristers and clients, and supporting billing and case management processes.
The role will be a blend of legal support and administration, requiring someone who is highly organised, strategic, and proactive. The successful candidate will act as the go-to person (“guru”) for their area of the business — whether in Crime or Commercial — maintaining full awareness of all matters and their status. They will ensure that workflows are properly established, tracked, and adhered to, and that communication across cases, clients, and the internal team remains clear and efficient.
The ideal candidate will bring strong knowledge of Australian legal procedures, excellent communication skills, and proven experience working with ActionStep. Key Responsibilities
Paralegal Support
- Draft, proofread, and format legal documents including contracts, pleadings, affidavits, briefs, and memoranda.
- Conduct legal research and summarize case precedents, statutes, and regulations for review by lawyers.
- Prepare case summaries, reports, and client updates.
- Liaise with barristers, external counsel, and clients to ensure smooth coordination on legal matters.
- Monitor case timelines, deadlines, and compliance requirements, proactively flagging upcoming actions.
Client Communication
- Act as a point of contact for client inquiries, ensuring timely, professional, and confidential responses.
- Provide clients with updates on case progress, requests for documents, or next steps as directed by lawyers.
- Assist with client onboarding, ensuring new clients understand processes and documentation requirements.
Billing & Administrative Support
- Track billable hours and maintain accurate time records.
- Prepare and issue invoices, and assist with billing queries.
- Monitor accounts receivable and follow up on outstanding payments when required.
- Manage digital filing systems to ensure legal documents are well-organized and accessible.
- Coordinate schedules, virtual meetings, and internal communications to support workflows.
Operational & Compliance Support
- Maintain confidentiality and data security in line with Australian legal industry standards.
- Ensure accurate record-keeping and compliance with policies and procedures.
- Support process improvements to streamline documentation, billing, and client communication.
Skills & Qualifications
- Certificate, diploma, or degree in paralegal studies, legal administration, or related field.
- Minimum 3 years’ experience as a paralegal in an Australian law firm, ideally within criminal or commercial law.
- Proficiency with Actionstep (non-negotiable)
- Strong drafting skills with high attention to detail and accuracy.
- Familiarity with Australian billing and invoicing practices.
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities, with the capacity to manage multiple matters remotely.
- High level of professionalism, discretion, and client service orientation.
