Why this role exists
The Operations Assistant serves as a critical support pillar for the Operations Manager, ensuring seamless documentation flow and data accuracy in a rapidly scaling business. This role bridges the gap between customer data, operational documentation, and reporting requirements to maintain efficient business processes.

The Impact you’ll make

Document Processing

  • Organize invoices, shipping documents, and inventory reports

  • Maintain standardized filing systems

  • Process and track operational documentation


Data Management

  • Convert non-standardized customer data into defined formats

  • Maintain databases and spreadsheets with high accuracy

  • Update records following established procedures


Reporting & Analysis

  • Support the creation of operational reports

  • Execute SOPs for PO/Invoice creation

  • Maintain accurate reporting records


Administrative Coordination

  • Schedule and arrange meetings for the Operations Manager

  • Follow standard operating procedures

  • Support time-sensitive operational requests



Skills, Knowledge and Expertise

Required:

  • 2-3 years experience in administrative or operations support role

  • 2+ years experience with data entry and documentation management

  • Proven experience with database and spreadsheet maintenance

  • Strong proficiency in MS Office Suite, especially Excel

  • Native English proficiency (non-negotiable)

  • Must be available during EST business hours

  • WFH Set-Up:

    • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.

    • Internet speed of at least 40MBPS

    • Headset with an extended mic that has noise cancellation and a webcam

    • Back-up computer and internet connection

    • Quiet, dedicated workspace at home

Work Setup:

  • Remote position

  • Tentative, subject to change: Monday to Friday from 8 AM to 5 PM EST (Eastern Standard Time)

  • 40 hours per week


Compensation:

  • $5 per hour
