The Intake Coordinator manages the flow and organization of incoming medical record requests. This role emphasizes coordination, tracking, and ensuring no requests stall due to intake issues.

Key Responsibilities

Intake Coordination

  • Monitor incoming request channels
  • Organize requests by priority and status
  • Track progress from receipt to handoff


Documentation Oversight

  • Review ROI documentation for completeness
  • Ensure all required forms are present
  • Coordinate corrections with internal teams


Workflow Management

  • Maintain intake logs and tracking sheets
  • Ensure smooth handoff to retrieval teams
  • Flag backlog or volume issues early


Process Support

  • Identify recurring intake issues
  • Provide feedback for SOP improvements


What Success Looks Like

  • No stalled or lost requests
  • Clean intake handoffs
  • Organized, auditable records
