Summary:
We are seeking a motivated and detail-oriented Medical Administrative Assistant to join our team. This key position will provide administrative support to our office operations while contributing to essential tasks related to caregiver recruitment, employee engagement, and social media management. The ideal candidate will have strong organizational skills, excellent communication abilities, and a passion for supporting the healthcare community.
Responsibilities:
Answering Phones & Client Support:
- Respond to incoming calls, answer questions, and provide general information to clients, caregivers, and prospective staff
Social Media Management:
- Assist in content creation and post scheduling for "Reaching for the Stars" (a third-party employee engagement platform). Work with our team to ensure the timely and effective posting of content to engage and motivate staff
Caregiver Sourcing & Screening:
- Source and identify potential caregivers through various channels. Conduct initial phone screenings to assess qualifications, experience, and interest in available positions
Credential Management:
- Manage the credentials of field staff to ensure compliance with company policies and healthcare regulations. Track and update certifications, training records, and other necessary documentation.
Shift Time Reconciliation:
- Assist with reviewing and reconciling shift times, ensuring accurate billing and payroll processing for caregivers
Employee Engagement:
- Coordinate and manage employee engagement initiatives using the "Reaching for the Stars" platform, including creating and scheduling posts to motivate and recognize staff achievements
General Office Support:
- Perform other administrative tasks as needed, such as filing, data entry, and office organization
Qualifications:
- High school diploma or equivalent required; Associate’s degree in a related field preferred
- Previous experience in a medical office or healthcare environment is highly preferred
- Strong organizational skills with the ability to multitask and prioritize effectively
- Excellent verbal and written communication skills
- Experience with social media platforms, specifically scheduling and content creation, is a plus
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, etc.) and other office software
- Ability to maintain confidentiality and adhere to HIPAA regulations
- A proactive, team-oriented attitude with a passion for supporting caregivers and clients
- Familiarity with caregiver credentialing and healthcare compliance procedures
- Experience with online scheduling tools or employee engagement platforms (e.g., "Reaching for the Stars") is a plus
- Ability to thrive in a fast-paced environment with a focus on customer service
