As the first point of contact for clients, you will play a vital role in creating a positive and professional first impression. Key Responsibilities
- Serve as the first point of contact for potential and existing clients across multiple channels - including phone calls, emails, text messages, and social media platforms.
- Screen, qualify, and route inquiries in our system, ensuring all information is accurately recorded and properly categorized.
- Assess client needs and identify potential leads, guiding them toward scheduling consultations or receiving appropriate follow-up.
- Communicate clearly and persuasively to help clients understand the value of professional legal representation.
- Maintain consistent and professional communication in both written and verbal interactions.
- Collaborate with the Operations Manager and Customer Service Team to ensure an efficient and client-centered intake process.
- Bachelor's degree (required)
- Major in Communication, Business, Marketing, Law or a related field is highly preferred..
- Minimum of 3 years of experience in client intake and customer service - experience in a U.S.-based law firm, particularly an immigration law firm, is highly preferred.
- Native-level English fluency with excellent verbal and written communication skills.
- Warm, professional demeanor with strong emotional intelligence, active listening skills, and the ability to put clients at ease while maintaining control of the conversation.
- Skilled at handling sensitive client interactions with discretion, empathy, and confidence.
- Demonstrated ability to manage high volumes of calls, emails, social media inquiries, and online reviews across multiple platforms.
- Proficient in CRM systems, intake tools, and digital document management.
- Experience handling invoicing and secure document storage.
- Able to work productively during U.S. Pacific Time hours.
- Highly organized, proactive, and accountable, with the ability to multitask and track follow-ups independently.
- Strong problem-solving skills and a mindset for continuous improvement in both client service and workflow processes.
- Team-oriented and collaborative, able to work seamlessly across legal, finance, marketing, and operations teams.
- Quick learner with a genuine interest in legal services and enhancing the overall client experience.
- USD 700 - 1,000/month, depending on experience.
- Paid Leave: U.S. federal holidays, 5 days paid annual leave, 5 days paid sick leave, and local holidays after 12 months.
- Performance Bonuses: Based on KPIs and project impact.
- Regular Remuneration Reviews: Benchmarking against performance and market standards.
