The Legal Intake Specialist/Administrative Support plays a critical role in assisting prospective clients through the 9/11 claims intake process while also providing essential administrative support to the legal team and existing clients. This position involves gathering and reviewing key documents conducting interviews with potential clients or their representatives, and ensuring accurate data collection. In addition to intake responsibilities, the specialist will assist with various administrative tasks, such as organizing case files, preparing documentation, and coordinating communication between clients and legal staff, contributing to the efficiency of building strong cases for those affected by 9/11.

Key Responsibilities

  • Establish rapport with potential clients via phone and email
  • Screen and assess claim viability, directing non-eligible cases as needed
  • Accurately input case details into the firms database
  • Conduct follow-ups on intake forms, deadlines, and rejections
  • Draft rejection letters and handle after-hours call rotations
  • Perform data entry, conflict checks, and witness information updates
  • Maintain professionalism and empathy when communicating with clients
  • Support the legal team by investigating case details and legal issues
  • Review client documentation and assist in drafting relevant questions or responses
  • Process client forms and request necessary documents as required for case progression
  • Prepare and organize necessary documentation for case acceptance
  • Follow up on cases that may require further attention or have been overlooked
  • Conduct regular audits to ensure data accuracy and completeness
  • Review records and draft appropriate correspondence or assessments

Qualifications

  • Strong phone presence with active listening and communication skills
  • Analytical ability to assess liability and case potential
  • Confidence in discussing legal services while maintaining client trust
  • Highly organized, detail-oriented, and a team player
  • Proficiency in case management software; prior law firm experience is a plus
