Job Responsibilities

  • The Administrative Assistant for the Legal and Compliance Department provides essential support to the team by managing day-to-day administrative tasks. This role involves handling legal documentation, organizing meetings, maintaining compliance records, and ensuring smooth office operations. The assistant will also coordinate with internal and external stakeholders, manage schedules, and assist in drafting and proofreading legal correspondence. Confidentiality, attention to detail, and strong organizational skills are critical in supporting the department’s compliance and legal functions.
  • Office Organization: Maintain a clean and well-organized office environment, including managing office supplies, equipment, and inventory.
  • Administrative Support: Provide administrative support to ensure the efficient operation of the office, including managing phone calls, emails, and scheduling appointments.
  • Document Management: Assist in the creation, editing, and distribution of various documents, reports, and presentations.
  • Record Keeping and Management: Responsible for ensuring accurate and organized record-keeping and management of important documents such as contracts, case files and other legal documents.
  • Calendar Management: Schedule and coordinate meetings, appointments, and events, and manage calendars for team members.
  • Correspondence: Draft, proofread, and distribute correspondence, emails, and reports as needed.
  • Travel Arrangements: Coordinate travel plans, accommodations, and itineraries for team members.
  • Meeting Support: Prepare meeting materials, take meeting minutes, and provide logistical support for meetings and conferences.
  • Guest Support: Assist visitors and guests of the department, ensuring a positive and professional experience during their visit.
  • Research: Conduct research on various topics and compile information for reports and presentations.
  • Expense Management: Assist in the tracking and management of expenses, reimbursements, and financial records.
