Lead Generation Specialist

Key Responsibilities

Transaction & Listing Management

• Update listings and sales in Trello following established SOPs
• Manage and update CRM records (preferably FollowUpBoss) daily
• Handle disclosures, open escrows, and maintain organized transaction files
• Maintain spreadsheets for listings, tasks, and client information
• Order preliminary titles, insurance quotes, and home warranties
• Send and manage correspondence with lenders, escrow officers, and clients

Contracts & Documentation

• Write and review contracts and addendums to ensure accuracy and consistency
• Manage e-signature and document signing platforms such as DocuSign or Transaction Desk
• Upload and follow up on signed documents for compliance and audit purposes

Property Coordination

• Plan open houses and schedule property visits
• Enter and post open house details in the MLS
• Schedule and coordinate property photography
• Conduct follow-up calls with agents or clients after showings

Client & System Management

• Maintain and organize past client and farm lists
• Set up new clients on e-alerts and update communication logs

Experience & Qualifications

• Good English communication skills (written and verbal)
• Proven listing and transaction coordination experience
• Experience with FollowUpBoss or similar CRMs
• Knowledge of real estate forms and document management (preferably ZipForms)
• Familiarity with project/task management tools (e.g., Trello)
• Experience using e-signature platforms (e.g., DocuSign, Transaction Desk)
• Hands-on experience with MLS systems
