Healthcare Virtual Assistant

Call Hero is a call recording and conversation analysis software. Where it's mission is to help health business owners easily measure and train their teams to dramatically convert even more phone calls into new patients.

The Role

You Will Be Responsible For

• Process internal referrals and ensure they are added to the correct lists.
• Schedule and oversee allied health appointments (PT, KIN, CC, OT, Vision).
  
  

PT – Physical Therapy

KIN – Kinesiology

CC – Chiropractic Care (or sometimes Clinical Counseling, depending on the context)

OT – Occupational Therapy

Vision – Eye care services, possibly including optometry or vision therapy

• Call approved and private patients to book their treatments.
• Manage and update patient approvals, denials, and follow-up lists.
• Assist with EACR treatment block bookings and LTD approvals.
  
  

EACR - Extended Activity and Conditioning Rehabilitation

LTD - Long-Term Disability

• Send faxes to GPs as needed.
• Submit daily reports to management.
  
  

Ideal Profile

• At least 2 years experience as a Virtual Assistant preferably in a healthcare setting (eg. Physiotherapy, Dental clinics,Osteopathy, Chiropractic's, Naturopathy, etc.)
• Experience in healthcare administration or patient coordination (preferred).
• Strong organizational and time management skills.
• Excellent phone and email communication.
• Ability to multitask and manage scheduling efficiently.
• Knowledgeable with MS Excel, Google Workspace (Google Spreadsheet, Google Docs, etc.)
• Familiarity with healthcare software tools (EMR/EHR -> WEBPT, JANE APP, Juvono etc.)
• Experienced in handling insurance claims (MVA,WSIB, BlueCross, Sun life, etc.) , billing, etc.
