Key Responsibilities

  • Manage email correspondence, prioritize messages, and respond on behalf of the team when necessary
  • Schedule and manage calendars, appointments, and meetings
  • Perform internet research, data collection, and report preparation
  • Maintain and organize digital files and records
  • Handle administrative tasks such as document preparation, data entry, and form completion
  • Support social media updates and light content creation (optional based on skillset)
  • Coordinate with team members and vendors as required
  • Track and follow up on tasks, deadlines, and deliverables
  • Assist in creating presentations, spreadsheets, and other business documents

Qualifications

  • 2+ years of experience in a virtual assistant or administrative support role
  • Excellent written and verbal English communication skills
  • Strong organizational and time management skills
  • Proficiency in Microsoft Office and Google Workspace (Docs, Sheets, Drive, Gmail, Calendar)
  • Familiarity with task/project management tools like Trello, Asana, or ClickUp
  • Ability to work independently, manage time effectively, and meet deadlines
  • Reliable internet connection and a distraction-free remote working environment

Preferred Skills (Not Required)

  • Experience with CRM platforms such as HubSpot, Salesforce, or Zoho
  • Knowledge of basic bookkeeping or invoicing tools like QuickBooks or Xero
  • Social media management experience (Facebook, LinkedIn, Instagram)
  • Basic graphic design skills using Canva or similar tools
