The Facilities Operations Specialist is responsible for managing the day-to-day coordination of vendor work orders and delivering timely, high-quality support for facilities-related service requests. The role also involves leading a small team, maintaining communication with internal and external stakeholders, and ensuring accurate documentation, prompt issue resolution, and consistent process execution.

Responsibilities

• Manages daily work orders, vendor dispatch, and ensures timely ticket resolution.

• Tracks service performance, escalations, and maintains accurate documentation.

• Communicates with customers, providing clear updates and support.

• Sources vendors and supports regional service coverage.

• Assists team operations, quality control, and participates in internal/client meetings.


Qualifications

• Proficient in Excel (VLOOKUP, Pivot Tables) for data analysis and reporting.

• Skilled in vendor coordination and stakeholder communication.

• Manages high call volumes, multitasks across platforms, and resolves escalations.

• Experienced in service ticketing, work order tracking, and performance reporting.

• Strong decision-making, time management, and clear communication skills.


Screening Criteria

• High school diploma or equivalent combination of education and relevant work experience.

• Previous experience in Exterior Services or Facilities Maintenance.

• At least one (1) to two (2) years of experience in exterior services or facilities maintenance.

• Experience with facilities maintenance or construction environments is a plus.

• Prior experience handling both administrative and vendor coordination tasks.

• Has experience supporting or leading a team of three (3) to five (5) members.

• Must have stable employment history.
