Duties And Responsibilities
We are seeking a highly organized, tech-savvy, proactive and trustworthy Executive/Personal Assistant to provide both professional and personal support to a founder and executive operating across multiple companies, real-estate holdings, and a small private family office. This role requires exceptional attention to detail, sound judgment, and the ability to anticipate needs, manage competing priorities, and execute efficiently in a remote environment. This role is ideal for someone who is eager to grow beyond traditional EA responsibilities and develop into a long-term strategic partner within the business.

Duties And Responsibilities

Responsibilities
Executive & Calendar Management
- Manage complex calendars and scheduling across multiple time zones, ensuring alignment with strategic priorities.
- Plan and coordinate detailed itineraries; book travel (flights, hotels, cars, reservations) and prepare contingency plans for delays or last-minute changes. Prepare meeting briefs and daily/weekly agendas summarizing key priorities, participants, and decision points.
- Track action items and proactively remind the executive of deadlines and follow-ups.
- Triage executive inboxes, filter and prioritize communications, and draft or respond to select messages consistent with the executive’s voice and tone.
- Maintain structured documentation, shared folders, and contact directories for quick retrieval and continuity across projects.
- Liaise with internal teams, investors, and external partners to ensure smooth information flow and timely execution.
- Perform light bookkeeping and administrative tasks across real estate assets, investments, and family-office accounts (via Monarch.com and related systems).
- Manage expenses, reimbursements, and invoices; maintain transaction records and assist in financial reconciliations.
- Track renewals, licenses, insurance, and entity compliance dates across multiple LLCs and holdings.
- Coordinate with accountants, attorneys, and advisors to assemble and organize materials for filings or meetings.
- Interact with contractors and vendors; solicit bids, compare proposals, and oversee service quality.
- Handle personal errands such as gifting, reservations, vendor scheduling, and payments.
- Support light project management for ongoing initiatives (property upgrades, family projects, and business pilots), ensuring milestones are tracked and deliverables met.
- Conduct comparative research (vendors, products, travel, investments, or market data) and present concise summaries with recommendations.
- Manage digital tools and workspaces (Google Workspace, Monarch, ChatGPT, etc.); develop and maintain templates for repeatable workflows.
- Suggest process improvements to streamline operations and enhance executive productivity.
- Handle all personal, financial, and business matters with strict confidentiality.
- Exercise sound judgment and professional maturity in all communications and decisions.

- Experience in bookkeeping, expense tracking, and vendor management (Monarch.com experience is a plus).
- Proactive communicator with excellent written and verbal communication skills.
- Discreet, trustworthy, and capable of handling sensitive personal and financial information.
- Demonstrated ability to manage multiple priorities with attention to detail.
- Growth mindset: eager to learn, adaptable, and open to taking on broader responsibilities over time.
