About The Job

We are seeking a detail-oriented, tech-savvy, and resourceful Executive Assistant to support the coordination and execution of technical and administrative tasks related to client websites. This role involves managing various aspects of website updates, ensuring accuracy, and implementing client feedback while maintaining a strong focus on project quality and timely completion.

Duties And Responsibilities

  • Website Updates: Add therapist bios to client websites, ensuring information is complete, images are formatted correctly (e.g., background removal via Canva), and SEO information is included.
  • Asset Management: Gather and compile assets (e.g., images, content, logos, files) in an organized manner to be shared with developers. Ensure completeness of content being shared with developers to aid in a seamless development process.
  • Design & Assets: Appreciation for design and ability to compile stock images that align with brand guidelines and target audience.
  • Content & SEO Updates: Upload blog posts, source stock images, update buttons and CTAs, implement changes based on user journey revisions, and ensure SEO elements are correctly applied.
  • Client Feedback: Implement client feedback efficiently while identifying tasks that need escalation to others for execution.
  • Technical Setup: Set up Google Analytics and Google Search Console accounts for clients. Requires ability to set up a VPN.
  • Project Proofing: Review and proof wireframes, ensuring accuracy and identifying/fixing discrepancies for things such as capitalization, punctuation.
  • SOP Development: Develop standard operating procedures (SOPs) and create a playbook for managing website-related tasks and processes.
  • Client Communication: Respond to client emails with status updates and answers to inquiries, helping reduce the client’s inbox load.
  • Contractor Management: Assist in putting together a contractor handbook to standardize processes.

Qualifications

  • At least 3 years of previous experience in a relevant field.
  • Proficient in using Elementor for website updates.
  • Ability to work with design elements and ensure UX consistency.
  • Proven experience in managing multiple tasks, prioritizing effectively, and meeting deadlines.
  • Basic understanding of SEO best practices for website optimization.
  • Excellent English written and verbal communication skills.
  • High attention to detail with the ability to identify discrepancies and ensure quality.
  • Ability to think critically, troubleshoot, and solve problems independently.
  • Familiarity with other software such as: Canva, Google Drive, and Project Management software (ClickUp or other)
