Position : Executive Assistant

Working Hours : 9am to 5pm MT with overlapping schedule

Salary Range : $900-$1200/monthly

We are seeking a highly organized and detail-oriented Administrative Coordinator to support our team. This role requires proficiency in task management and note-taking, with a strong emphasis on ensuring tasks are tracked and completed efficiently. The ideal candidate will have experience with QuickBooks Online (QBO) and possess a minimal accent for occasional customer support calls.

Key Responsibilities

  • Task Management: Efficiently manage and track tasks to ensure nothing is overlooked. Implement systems to keep tasks organized and follow up as necessary.
  • Note-Taking: Accurately record meeting notes and important information. Ensure that all details are documented and accessible.
  • Customer Support: Handle occasional customer support calls, providing clear and professional communication.
  • QuickBooks Online Experience: Utilize QBO for relevant financial tasks and support.
  • Attention to Detail: Maintain a high level of accuracy in all tasks and documentation.

Qualifications

  • Proven experience in task management and organizational skills.
  • Familiarity with QuickBooks Online (QBO) is preferred.
  • 1-3 years of experience
  • Excellent note-taking abilities.
  • Strong attention to detail and ability to keep track of multiple tasks.
  • Ability to handle occasional customer support calls with a minimal accent.
  • Excellent communication skills and a proactive attitude.
  • DETAILED Notetaking and task management. Important to NEVER forget to document a task
  • High accountability and project management skills
  • Very well organized
  • Talented "internet researcher" to research products, locations, competitors, etc (while taking detailed notes)
  • Great organizational skills
  • Data entry / spreadsheets / financial bookkeeping experience
  • Fluent English with minimal accent (will be making calls for me)
  • SOP creation and documentation(both based on tasks s/he completes as well as watching me and creating SOPs based on that)
  • Researching courses, podcasts, YouTube videos, etc and taking detailed notes for me (timestamping the interesting parts)
  • Bookkeeping across both personal finances and and MacherMedia finances
  • Quickbooks experience a plus
