GoTeam is seeking an experienced and dedicated Executive Assistant to provide comprehensive administrative support to our Founder & Chief AI Officer . This pivotal role involves managing a diverse range of tasks, including project management, communication coordination, travel arrangements, and research. The ideal candidate is a proactive and organized professional with excellent multitasking abilities and effective communication skills.

This role will report directly to the Executive Assistant and undergo comprehensive training to effectively support the Chief AI Officer and Founder.

In This Position, You Will Be

Assistance to the Founder

  • Provides comprehensive administrative support to the Founder
  • Manages the Founder’s email, schedule, and appointments
  • Prepares presentations, reports, and organizes events as required
  • Undertakes ad hoc tasks to facilitate the Founder’s activities


Point of Contact and Stakeholder Engagement

  • Serves as a communication hub, answering calls and conveying project updates
  • Supervises and collaborates with stakeholders for the Founder
  • Gathers and relays relevant information between project stakeholders


Record Management

  • Establishes and maintains a well-organized filing system
  • Keeps contact management information up-to-date
  • Records meeting minutes and maintains detailed project records


Organizing Project Logistics

  • Ensures project adherence to timelines and goals
  • Coordinates schedules, finalizes meetings, and maintains project frameworks
  • Monitors project progress, addresses issues, and manages risks for successful outcomes


Other Key Responsibilities

  • Manages reports, special projects, and events
  • Handles travel and calendar management tasks
  • Conducts research, prioritizes tasks, and fosters strong working relationships


Skills And Qualifications

  • Education: Bachelor's degree in business administration, management, or related field
  • Experience: 2-3 years of relevant experience as an Executive Assistant for a Founder/Director
  • Preferred Experience: Proven track record in effectively managing relationships with foreign clients or executives
  • Software Familiarity: Advantageous if familiar with MS Office, scheduling software, project management software, etc.
  • Time Management: Demonstrates good time management skills, able to juggle multiple tasks, manage time wisely, and prioritize work tasks effectively
  • Communication: Exhibits good and effective communication skills, with the ability to explain tasks, projects, and meeting content clearly, ensure team understanding, and consistently meet deadlines
  • Conflict Management: Possesses good conflict management skills
  • Organization: Excellent organizational skills to manage meetings, schedules, appointments, phone calls, and documents
  • Additional Skills: Experience in training or courseware management is a plus, keen attention to detail, strong work ethic with a focus on team success, and ability to work in a fast-paced environment.


Must be willing to work in a hybrid work arrangement, working from the office located in Cebu City, Cebu on specific days or whenever the Founder is present in Cebu City.
