Our Client, ReSource Pro, is a 21-year-old leading provider of integrated, innovative operational solutions to US-based insurance organizations including brokers, managing general agents, carriers, and third-party administrators. Our Client, ReSource Pro, supports a wide range of business processes, with a focus on activities requiring deep domain expertise. They have a large and growing base of more than 10,500 employees based in the U.S., China, India, and Serbia with 400+ clients.

Your Role

As an Executive Coordinator, you will:

  • Executive & Calendar Management
    • Manage complex scheduling for C-suite executives, Board of Directors, and other senior leaders.
    • Coordinate and prioritize high-level meetings, including agenda preparation and calendar maintenance.
    • Maintain and support the corporate calendar.
  • Travel & Event Planning
    • Plan and book complex global travel (visas, flights, accommodations, ground transport).
    • Coordinate executive trip agendas and ensure timely, accurate expense submissions.
    • Support office visits for internal team members and external guests, including logistics and scheduling.
    • Assist in organizing corporate events and board-related meetings/dinners.
  • Meeting Preparation & Administrative Support
    • Prepare meeting materials: agendas, presentations, talking points.
    • Leverage support teams to delegate and complete tasks efficiently.
    • Verify and manage transactions, including corporate credit card usage and consultant/vendor payments.
  • Project Management
    • Lead various corporate projects; manage deliverables and communicate updates to Lead Executive Coordinator.
    • Ensure alignment with company strategy and maintain confidentiality in all matters.
  • Team Collaboration
    • Foster strong collaboration with internal departments and offshore support teams.
    • Maintain relationships with other administrative staff to support business continuity and operations.
What You Need

Non-negotiables

Education & Experience

  • Bachelor’s degree in Business Administration or related field.
  • 5-7 years of executive-level administrative support experience.

Core Skills

  • Strong organizational and multitasking abilities.
  • Excellent written, oral, and presentation communication skills.
  • High attention to detail and accuracy.
  • Demonstrated discretion with confidential information.
  • Professional demeanor and ability to remain composed under pressure.
  • High sense of urgency and proactive follow-through.

Technical Proficiency

  • Proficient in Microsoft Outlook, Word, Excel, PowerPoint.

Other Requirements

  • Ability to travel domestically.
  • Comfortable interacting with both internal stakeholders and external partners (clients, vendors, etc.).

Preferred Skills/expertise

  • Experience coordinating board meetings, executive dinners, and corporate events
  • Proven ability to support both onshore and offshore teams across time zones.
  • Familiarity with project management tools and methodologies.
  • Strong customer service orientation and problem-solving mindset.
  • Self-starter with a drive for continuous improvement and efficiency.
