About the Role:

We are looking for a highly organized and proactive Executive Assistant to manage various administrative tasks, support executive operations, and enhance overall productivity. The ideal candidate will have a strong background in administrative support, excellent communication skills, and the ability to handle a dynamic work environment.

Job Responsibilities:

  • Inbox Management: Manage the executive’s inbox, prioritize emails, and assist in drafting and replying to correspondence.
  • Meeting Coordination: Schedule, organize, and manage meetings, including preparing agendas, taking minutes, and ensuring follow-up on action items.
  • Daily Schedule Management: Oversee and manage the executive’s daily schedule, ensuring efficient time management and prioritization of tasks.
  • Report Review: Review incoming reports and summarize key points for the executive.
  • Research: Conduct research on various topics as required, providing concise and relevant information to assist in decision-making.
  • Travel Arrangements: Coordinate travel plans, including booking flights, accommodations, and transportation.
  • Report and Presentation Production: Prepare and produce high-quality reports and presentations.
  • Customer Reporting: Prepare monthly customer reports, ensuring accuracy and timeliness.
  • Marketing Support: Assist with the development and execution of marketing plans.
  • Typing and Documentation: Type documents at a speed of at least 80 words per minute, ensuring accuracy and attention to detail.
  • General Administrative Support: Provide comprehensive administrative support, including filing, document management, and other tasks as needed.

Requirements

  • Bachelor's degree in Business Administration or related field preferred.
  • At least 3+ years of proven experience as an Executive Assistant or similar administrative role; experience in the Australian IT/MSP industry is a plus.
  • Exceptional organizational and time-management skills.
  • Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms (Zoom, Teams, etc.).
  • Ability to type at least 80 words per minute with a high degree of accuracy.
  • Excellent verbal and written communication skills.
  • Ability to maintain a high level of integrity and discretion in handling confidential information.
  • Strong problem-solving skills and the ability to prioritize tasks.

Additional Job Details:

Set-up and Location: Office-based/Remote (Ortigas, Alabang, Pampanga, or Cebu)

Work Schedule: 8:30 - 17:30 (AU Time) | 5:30 - 2:30 (PH Time)

Employment Type: Full-time
