Role: Executive Assistant and Reporting Analyst

Work Arrangement: Work from Office

Location: Philippines - Angeles, Mabalacat, Ortigas, Makati

Schedule: Night Shift

Job Description

Inbox Management

  • Take full ownership of the CFO and Presidents email inboxes
  • Ensure Inbox Zero is maintained daily by triaging, organizing, and responding to emails as appropriate
  • Proactively filter out spam and irrelevant communications using rules, deny entries in Fusemail and best practices
  • Leave only emails that require direct executive attention or response
  • Draft and send professional correspondence on behalf of the executives

Calendar & Scheduling

  • Manage complex calendars, including scheduling meetings, appointments, and travel arrangements
  • Anticipate scheduling conflicts and proactively resolve them

Communication & Coordination

  • Act as the primary liaison between the executives and internal/external stakeholders
  • Prepare and review communications, presentations, and reports for executive meetings
  • Coordinate logistics for meetings, conferences, and events, including venue selection and materials preparation

Administrative Support

  • Create, maintain and organize confidential files and ensure the integrity of sensitive information
  • Monitor and prioritize incoming requests, ensuring timely follow-up and resolution
  • Assist with special projects and perform research to support executive initiatives

IT Support

  • Manage IT Support Cases and Salesforce development coordination
  • Build reports using Power BI and similar
  • Sage 100 and Salesforce updates
  • Performs all other duties as assigned

Education And/or Experience

  • High School Diploma (or GED or High School Equivalence Certificate)
  • Bachelors degree preferred, two or more years commercial electrical experience; or equivalent combination of education and experience

Language Skills

  • Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents
  • Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community
  • Ability to effectively present information to management, public groups, and/or board of directors
  • Ability to interact clearly and effectively, in both written and oral communication, with supervisor, clients, staff, vendors, etc.

Mathematical Skills

  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations

Computer Skills

  • To perform this job successfully, an individual should be proficient in personal computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc.

Non-Negotiable Skills & Requirements

  • Working knowledge of Power BI for data visualization and executive dashboards
  • Experience using Sage 100 for financial or operational support
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent organizational and multitasking abilities with a keen attention to detail
  • Outstanding verbal and written communication skills
