SAGA PH is looking for two (2) Executive Assistants who will join our dynamic team.
Executive Assistant to the COO
The Executive Assistant to the Chief Operating Officer (COO) plays a vital role in managing operational dashboards, event calendars, and financial transactions such as reimbursements and liquidations. This role ensures the COO is fully supported in achieving organizational efficiency and operational goals.
Key Responsibilities:
- Maintain and update operational dashboards with accurate data for performance tracking.
- Collaborate with Project Managers to ensure timely submission of reports and updates.
- Organize and maintain the department's event calendar, including internal and external meetings.
- Schedule appointments, ensuring there are no conflicts, and prioritize based on operational needs.
- Process reimbursements, liquidations, and other financial documentation with accuracy and timeliness.
- Track and organize event expenses to ensure proper documentation for financial audits
- Serve as a liaison between the COO and internal/external stakeholders.
- Draft emails, memos, and reports as needed.
- Organize and maintain files and records for operational documentation.
- Prepare and manage presentations for operational reviews.
Qualifications:
- Bachelor’s degree in Business Administration, Management, or related field.
- Strong proficiency in MS Office Suite, particularly Excel and PowerPoint.
- Exceptional organizational and multitasking skills.
- At least 2 years of experience as an Executive Assistant or similar role.
- Detail-oriented with excellent written and verbal communication skills.
Executive Assistant to the CEO and CSO
The Executive Assistant to the Chief Executive Officer (CEO) and Chief Strategy Officer (CSO) is a shared role responsible for scheduling, preparing reports and dashboards, conducting research, and managing internal and external communications. A background in communications is highly preferred.
Key Responsibilities:
- Manage complex schedules for both the CEO and CSO, ensuring alignment and efficient time allocation.
- Coordinate meetings, appointments, and travel itineraries.
- Create and maintain performance dashboards and reports to track organizational and strategic metrics.
- Provide analytical insights based on compiled data.
- Conduct in-depth research on strategic initiatives, market trends, and industry benchmarks.
- Compile findings into concise and actionable reports.
- Draft, proofread, and manage correspondence, presentations, and reports.
- Act as the first point of contact for internal and external communications, maintaining professionalism and confidentiality.
- Handle documentation and filing for strategic projects and key initiatives.
- Support special projects and ad hoc tasks as required.
Qualifications:
- Bachelor’s degree in Communications, Journalism, or a related field.
- Proven experience (minimum of 3 years) as an Executive Assistant or Communications Specialist.
- Excellent organizational, multitasking, and time management skills.
- Strong research and analytical capabilities.
- Proficiency in MS Office Suite and Google Workspace.
- Exceptional written and verbal communication skills.
