Executive Admin Assistant (Project Based for 3 months)

Go Team is seeking a proactive and organized Executive Admin Assistant to manage client and consultant interactions, oversee CRM and invoicing processes, and provide critical support for business development activities. Responsibilities include scheduling meetings, tracking revenue and costs, preparing client proposals and reports, and coordinating travel and workshops. The ideal candidate will also develop industry insights, manage LinkedIn content, and assist with creating tailored client communications to strengthen professional networks.
- Location and Workplace: Cebu (Work From Home)
- Shift: Day Shift (6:00 AM to 3PM Philippine Time)
- Project Based for 3 months
In this position, you will be:
- Provide weekly client meeting plans and insights every Friday morning.
- Manage the Diary & Resource calendar to ensure efficient scheduling and coordination.
- Oversee CRM (Odoo) to track client interactions and manage client data.
- Handle the invoicing process using Xero, ensuring accuracy and timely payment tracking.
- Track revenue, costs, and prepare detailed monthly reports for internal review.
- Coordinate and book travel arrangements as needed for consultants and clients.
- Create tailored proposals, workshop invitations, and client invoices, in collaboration with the team.
- Develop industry-targeted content, including LinkedIn posts, newsletters, and industry-relevant articles, to build future client relationships.
- Tasks will focus primarily on the current pending research project for the client, with the aim of creating and strengthening the client’s professional network.
Qualifications:
- Exceptional verbal and written communication skills, with the ability to convey information clearly and provide regular updates.
- Proactive mindset, demonstrating initiative in anticipating needs and seeking updates or clarifications.
- Strong organizational skills, with the ability to manage multiple tasks and prioritize effectively.
- Excellent time management abilities, ensuring follow-up actions are completed promptly and efficiently.
- Attention to detail and commitment to maintaining high standards in follow-up activities.
