Position Overview:
We are seeking detail-oriented and tech-savvy Document Management & Classification Specialist to join our remote team in the Philippines to work with our US accounting client. In this role, you will manage, classify, and organize sensitive US tax documentation within Salesforce, ensuring timely processing and impeccable accuracy. You are passionate about organization and driven by a commitment to compliance and operational excellence. Your strong command of written and verbal English will enable you to communicate clearly, document processes effectively, and collaborate effortlessly with cross-functional US-based teams.
Key Responsibilities – Tax Document Handling & Classification in Salesforce- Document Management: Collect, review, and process US tax documents (e.g., W-9s, 1099s, tax forms) by uploading and indexing them accurately within Salesforce.
- Classification & Tagging: Apply correct categories, tags, and security protocols to documents in Salesforce for optimal retrieval and compliance.
- Quality Assurance: Conduct thorough checks to ensure all tax documentation is complete, compliant, and free from errors or misfiling.
- Data Integrity: Maintain data accuracy and consistency within Salesforce through regular audits and reconciliation reports.
- Work closely with finance, compliance, and US tax teams to clarify document requirements and ensure smooth workflows.
- Escalate inconsistencies, missing items, or anomalies in tax documents to relevant stakeholders for quick resolution.
- Draft clear communications, updates, and reports, ensuring seamless information flow between teams.
- Identify process gaps and recommend improvements for document management, security, and classification workflows.
- Stay updated on changes in US tax form requirements and documentation best practices to ensure ongoing compliance.
- Participate in team trainings and actively contribute to knowledge sharing sessions on tax document processing.
- 1+ year of experience in document management, data entry, or back-office operations (tax or finance environment a plus).
- Strong written and verbal English skills, with the ability to communicate clearly and professionally with US counterparts.
- Proficiency using Salesforce or another CRM/document management platform.
- Exceptional attention to detail and high standards for accuracy, especially in sensitive financial and tax records.
- Experience working remotely and self-motivation to meet deadlines with minimal supervision.
- Experience handling US tax documents (W-9s, 1099s, etc.) and understanding of IRS documentation guidelines.
- Familiarity with document classification best practices and digital recordkeeping standards for compliance.
- Prior experience supporting US-based clients or teams remotely from the Philippines.
- Knowledge of privacy, data protection, and secure information handling principles for financial documents.
