Position: Collections/Order Entry Coordinator
Location: 1880 Bldg. Eastwood, Quezon City

As a Collections/Order Entry Coordinator You Will
- Utilize a Customer Service/ Soft Collection type of approach to proactively and effectively communicate with customers to resolve any billing errors to collect amounts due for services rendered
- Review accounts receivable aging daily
- Make collection calls or e-mail customers for updates on payment status using a Customer Service/Soft Collections type of approach
- Coordinate and/or complete mailing/e-mailing of customer statements each month
- Send invoice or contract copies to customers as requested
- Produce and e-mail the month-end reports to Management and Sales Staff
- Provide weekly, monthly, and quarterly status updates to the Director of Administrative
- Follow Accounts Receivable Collection/ Hold Policy to ensure all customer contact, communications, and timeline targets are achieved perthe attached document
- Provide daily professional support to Order Entry Team, Service Billing Team, Techs, Salesman, Installation managers and customers.
- Complete all invoice and billing inquiries in a timely and efficient manner.
- Research in depth external and internal account or billing inquiries
- Assist Management in customer account research projects as requested.
- Verifies orders and contracts submitted by sales team for accuracy and enters complete and accurate orders into NetSuite per the Orders Approval and Acceptance Process.
- Contacts Salesperson for corrections on any errors on Order in CRM
- Verify orders have imported correctly from CRM to NetSuite.
- Ensure all order costs are accurately recorded in NetSuite.
- Provides proper paperwork and files to Operations, Shipping and Purchasing when required.
- Maintains the customer address database in NetSuite.
- Creates and receives purchase orders for the operations team
- Processing Product Swap Requests from Purchasing in a timely manner.
- Documents information related to the Sales Order regarding the order in NetSuite.
- Maintain assigned customer’s special order entry notes
Non-negotiables
- Prior experience working with U.S.-based businesses.
- 3 years of Collections and customer service experience.
- Possess strong fluency in both written and spoken English and be comfortable with U.S. business etiquette
