Job Purpose:

The Client Management and Executive Support shall act as the face of TCP managing the needs of the customers, clients and stakeholders. This job plays a crucial role in providing high-level support to senior executives, ensuring smooth office operations, and serving as a professional and welcoming point of contact for visitors and clients

Also, this person is a trusted advisor to the Site General Manager and the Leadership Team. The incumbent understands the business strategy and partner across the leadership team supporting the development and successful execution of strategic and operational initiatives to deliver organizational goals.

Key Accountabilities

Client Management

  • Manage the expectations of executives from clients and stakeholders in terms ease of doing business and engagement with the local team.
  • Coordinates with functional owners to ensure safety of visitors
  • Act as face of TCP for customers, clients, other Asurion leaders/executives and stakeholders by having a well-planned agenda, coordinates hotel, transfers and other needs

Executive Support

  • Manages and prioritizes General Manager’s schedule to ascertain that his/her time is focused on critical, strategic issues.
  • Prepares the executive presentation and ensures data and information accuracy
  • Manages highly confidential communication, information and safekeeps documents. Follow-through and consolidates Leadership Team weekly updates.
  • Supports the execution of the strategy and OKRs for Supply Chain by ensuring regular check in per agreed timeline of deliverables
  • Receives, handles and makes careful judgement on the recipient of highly confidential correspondence.
  • Identifies/coordinates agenda of the weekly Leadership Team meeting, ensures follow-through of all the action items raised in the meeting.
  • Manage and help organize leadership meetings, prepare agendas and presentation materials, and provide continual follow-up on action items and deliverables.
  • Build strong influence with local and US stakeholders on the thought process about the objectives of the organization.
  • Continuous Improvement– identifies opportunities for process improvement within the function and implement changes to enhance efficiency and effectiveness

Travels and Accommodations

Manage end to end (visa, flight booking, hotel arrangement, transfers, travel allowance, travel orientation, travel reports) Travel Requirements of Leadership Team and TCP travellers to ensure smooth flight and successful business trip. Regularly evaluates service level of local Travel Management Council and corporate hotels, together with other EA sites, and provides update and recommendation to US Travel Team.

  • Facilitates expatriates and repatriation requirements, in close coordination with US and Local Relocation partners with regard to their relocation needs, e.g housing, school, work visa, car/driver requirement. When necessary, screens third party drivers and house helpers for expats.

Admin Services

  • Monitors expense against AOP and forecast expat budget.
  • Manages the corporate card requisition/cancellation, issuance, safekeeping, credit limit monitoring to ensure sufficient balance at the time of use; and that corporate card holders strictly abide with the Asurion policy on the use of corporate cards.
  • Perform ad hoc projects as assigned.

Qualifications

  • Degree in business administration, office administration, communications or relevant discipline
  • At least 3-5 years of experience in client management role and project management
  • At least 3 years of experience in processing travel both international and local, and mobility assignments both short-term and long-term
  • Preferably with at least 3 years’ experience in executive admin, working with top level executives.
  • Possesses a high level of confidentiality, integrity and trustworthiness
  • Detail-oriented, diligent, able to work under pressure, resourceful and efficient
  • Proficiency in spoken and written English
  • Proficiency in MS Office applications
  • Ability to multi-task
