We Are Looking For
Administrative Duties
- Manage the CEO's calendar and email, including coordinating meetings, conference calls, and personal engagements.
- Arrange detailed travel plans, itineraries, and agendas, and compile documents for travel-related meetings.
- Screen incoming calls, emails, and meeting requests, making decisions on priority action items.
- Prepare and edit correspondence, reports, and presentations on behalf of the CEO.
- Act as the primary point of contact between the CEO and internal/external stakeholders.
- Prepare meeting agendas and take minutes during meetings, ensuring that key takeaways and action items are followed up on.
- Assist in the preparation and management of projects and strategic initiatives, serving as a project manager when needed.
- Conduct research and assist in data analysis for strategic decision-making.
- Be responsible for expense reports and act as a liaison for accounting/finance teams.
- Serve as a liaison between the CEO and the executive team, ensuring smooth communication and prompt resolution of requests and questions.
- Coordinate podcast appearances, interviews, speaking engagements, and other public events for the CEO.
- Help prepare talking points, presentations, and materials for such engagements.
- Ensure that the CEO's branding and messaging is consistent across all platforms and events.
- Assist with personal tasks and errands, as required.
- Manage confidential information with complete discretion.
- This role will be dynamic and will require flexibility.
- Minimum of 5 years of experience in an executive support role; experience supporting C-level executives is a plus.
- Great with spreadsheets and numbers. Quickbooks experience a plus!
- Ability to work independently and as part of a team.
- Ability to take direction, set priorities, and see assigned tasks through to completion.
- Strong communication skills + EQ.
- Ability to handle sensitive and confidential information with discretion.
- High degree of organization and attention to detail. You are the most organized person you know!
- A driven, go-getter attitude :)
