Job Description

The Business Development Support Specialist will be vital in providing top-level administrative support, customer service, and project management. This role requires a proactive, detail-oriented individual who can manage multiple priorities, foster positive relationships with clients and stakeholders, and ensure the confidentiality of sensitive information.

Furthermore, this role ensures clients who have purchased Agent Image websites and Internet Marketing products receive best-in-class websites and customer service.

Job Responsibilities

Administrative Support

  • Provide high-level administrative support to the VP of Business Development, including calendar management, travel arrangements, and email correspondence.
  • Meeting Coordination: Schedule, coordinate, and prepare materials for meetings, events, and presentations. Ensure all logistical details are handled efficiently.
  • Communication: Serve as the primary point of contact between the VP and internal/external stakeholders. Manage and prioritize communications, ensuring timely responses.
  • Document Management: Draft, edit, and review documents, reports, and business presentations. Maintain organized records and files, ensuring the confidentiality of sensitive information.
  • Project Support: Assist with special projects as assigned by the VP, including research, data analysis, and report preparation.
  • Proactive Problem-Solving: Anticipate the VP's needs, address potential issues before they arise, and offer creative solutions to improve efficiency.
  • Confidentiality: Handle all information with the highest level of privacy and discretion.

Customer Support and Project Management

  • Act as a point of contact for our Agent Image clients and maintain excellent customer relationships.
  • Assist VIP clients through website support changes, design requests, and website launches.
  • Handle 3-5 website projects in production.
  • Act as the bridge between clients and the design and development team and report the progress of requests to clients and the VP of Business Development.
  • Proactively suggest to clients how to improve their online presence through industry best practices.
  • Continuously add value to clients through top-tier customer service and assist in developing “best-in-class” products/services with our client services team.
  • Be passionately engaged with the ever-evolving digital marketing landscape, and have a finger on the changes that can help drive client success.
  • Establish smooth communication between clients and our development team, enabling different departments to work effectively and meet/surpass clients' expectations.
  • Proactively review the websites for possible issues and design and content revisions, including proofreading.
  • Stay updated on what is happening in the US real estate industry, website trends and designs, search engine updates, and SEO trends;
  • Any particular tasks from the VP of Business Development, Director of Client Services, and The Board.

Requirements

  • Background in customer support with at least 1 year experience servicing customers in the U.S. / North America
  • Excellent written and oral communication skills with at least a neutral North American accent, including the ability to explain and present technical information
  • Ability to handle multiple tasks simultaneously, prioritize workload efficiently and meet strict deadlines
  • Great analytical and innovative problem solving skills
  • Can work on a night shift schedule and/or over time
  • Salesforce experience is a plus
  • Experience with website content management and any internet related products, such as web hosting, email hosting, email configuration and DNS host management is a strong plus
  • Familiar with Real Estate terminologies and general information is a plus
