Automation Specialist (No Code/Low Code)

Location: Hybrid (may be Remote)

Engagement Type: Full-Time Contract-Based Role

Salary Range: Php35,000 – Php50,000 / month (commensurate with Experience)

We’re hiring an operations powerhouse to assist the Head of Operations on workflow automation and work-management. You’ll own workspace governance, build reliable no-code/low-code automations, and turn fuzzy requests into clean, scalable processes. You won’t be “just an assistant”; you’ll be the builder who makes the systems run.

• Work management governance: Structure, naming conventions, permissions, automations, views, dashboards, formulas/rollups, and reporting to keep the workspace tidy, fast, and trusted.
• Automation platform builds: Design, build, and maintain scenarios/flows across platforms (e.g., Make, Zapier, n8n) with webhooks, branching, iterators, retries, logging, and alerts.
• Process design: Translate business goals into durable workflows spanning the work-management tool (currently ClickUp) and automation platforms; add light scripting/HTTP modules as needed.
• Data integrity: Keep fields, statuses, and references consistent across tools (e.g., HubSpot work-management), and enforce required data at intake.
• Documentation & enablement: Write SOPs, short playbooks, and quick Looms; run office hours so teams can self-serve.
• Monitoring & incident response: Track runs, investigate failures quickly, ship fixes, and add preventative guardrails.

• Admin & power-user for the work-management platform (spaces/folders/lists, automations, dashboards, templates, forms, permissions).
• Build/maintain automation scenarios that connect our work-management platform, HubSpot, Slack, Google Workspace, and webhooks.
• Create and iterate on intake forms and downstream automations to speed handoffs and ensure data completeness.
• Partner with Sales/Support/Integrations to refine requests, propose better defaults, and standardize workflows.
• Publish SOPs with screenshots/GIFs; lead short trainings.
• Track metrics (cycle time, run success rate, data hygiene) and drive continuous improvement.

• 4+ years advanced experience in a work-management platform (ideally ClickUp; Asana/Monday/Jira welcome): architecture, automations, dashboards, formulas, workload/box views, permissions, templates, and governance at scale.
• 2+ years building production automations in Make and at least one of Zapier or n8n (error handling, branching, iterators, variables, data stores, HTTP/API).
• Proven record turning business requirements into adopted workflows for non-technical teams.
• Solid JSON, REST APIs, and webhook fundamentals (auth, pagination, rate limits, idempotency).
• Excellent written documentation; comfortable training end users.

• Introduced governance to messy workspaces (naming, archiving, permissions, templates).
• Built AI summaries or analytics dashboards from operational data.
• Work with ClickUp API/webhooks or Make data stores.
• Healthcare/HIPAA familiarity; Slack/Google Workspace automation; basic SQL or Apps Script.
