Hi! We're Smartsourcing, and we're looking for an experienced full-time, onsite AP Officer to join our clients finance team. This role plays a key part in ensuring invoices, payments, and supplier records are processed accurately and on time, supporting smooth day-to-day financial operations.

Where? JEG Tower, Archbishop Reyes, Corner Acacia St., Barangay Kamputhaw, Cebu City, 6000 Cebu

Role Overview

The Accounts Payable Officer reports to the Financial Controller and is responsible for providing financial, administrative, and clerical services. This includes processing and monitoring payments and expenditures, assisting in Accounts Receivable functions and ad hoc duties as directed by the Financial Controller.

Key Responsibilities

Invoice Management and Processing

  • Accurate processing of invoices into accounting software (ensuring validation against PO and goods receipts).
  • Contacting suppliers and raising any queries regarding invoices.
  • Obtaining departmental approval to validate invoices where required.
  • Verify that transactions comply with company financial policies and procedures.
  • Validate payments ready for payment and in line with payment terms.
  • Maintain current internal accounting systems, such as SAP, to ensure organisation and record keeping of payments made.
  • Complete statement reconciliations within approved timeframes.
  • Month end exposure – processing higher volume of transactions towards month end.
  • Process employee reimbursements.
  • Manage AP mailbox and recording of invoices on tracker.
  • Assist in invoice tracking and ensuring trackers are completed within approved timeframes.
  • Filing of invoices into SAP.

Recording and Reporting

  • Reporting on team KPI and Power BI reporting exposure.
  • Spend analysis reports as requested by Accountants and FC.
  • Maintains all accounts payable reports, spreadsheets, and accounts payable files.
  • Examining operating costs and expenditure.

Team Work

  • Work effectively with the accounts payable, accounting, and operations team.
  • Provide support to other members of the accounts payable team.
  • Act in a polite and encouraging manner to build rapport within the team.

Customer Service

  • Ensure customers, suppliers, and internal stakeholders are addressed in a professional manner.
  • Display a customer focus approach, whilst also making accurate business decisions.

Communication

  • Communicate appropriately within the team.
  • Report to the Financial Controller regarding any issues or other important information.
  • Communicate appropriately with suppliers to ensure a professional business relationship.
  • Communicate effectively with various departments regarding payment approval and other related issues, to ensure all payments are made in the determined timeframe.

OHS & Workplace Safety

  • Identifying and reporting of hazards, incidents, and near misses in the workplace.
  • Their own safety and the safety of others in their designated workplace.
  • Maintaining health and safety records in their designated workplaces.
  • To consult on matters relating to health and safety.



About You

Education, Technical Knowledge & Skills

  • Tertiary qualification in Accounting or related business discipline.
  • Microsoft Office (Excel and Word) knowledge is required.
  • SAP application/knowledge preferred.
  • Knowledge of customer/supplier portals is desirable.
  • 3+ years of experience.
