We are seeking a highly organized and detail-oriented Administrative Specialist to join our team. This role is ideal for candidates with strong administrative skills and the ability to manage a variety of tasks across multiple international markets. The successful candidate will be responsible for supporting the management of administrative processes, liaising with external consultants, and ensuring smooth operations related to accounting, contracts, and personnel across several countries.

We are seeking a highly organized and detail-oriented Administrative Specialist to join our team. This role is ideal for candidates with strong administrative skills and the ability to manage a variety of tasks across multiple international markets. The successful candidate will be responsible for supporting the management of administrative processes, liaising with external consultants, and ensuring smooth operations related to accounting, contracts, and personnel across several countries.
Key Responsibilities:
- Interface with Foreign Administrative Consultants: Work with current administrative consultants across various countries (UK, Spain, Germany, Florida, Mexico, Ireland, Holland, Finland, Dubai, etc.) to verify accounting records, balance sheets, tax, and contribution payments.
- Collaboration with Labor Consultants: Coordinate with labor consultants to ensure employment contracts are compliant with local regulations and verify relationships with authorities in relevant countries.
- Consultant Search and Recruitment: Identify and connect with new consultants to support business expansion, company openings, and staff hiring in new markets.
- Company Opening and Evaluation: Assist in evaluating estimates and managing the opening of new companies in various regions.
- Contract and Employee Management: Provide administrative support for contract management, employee monitoring, tracking worked hours, and verifying expense reports for payroll processing.
- Month-End Activities: Control month-end activities for foreign employees and freelancers, ensuring accurate reporting.
- Issue Resolution and Personnel Management: Mediate and manage issues related to foreign personnel, providing efficient solutions.
- Personnel Cost Reporting: Prepare and present reports on personnel costs.
- Invoice Control: Draft, record, and control active invoices in the company management system and ensure passive invoices are accurately recorded.
- Backup Registration: Assist with the comparison and verification of foreign accountants' records and provide backup support.
- Customs Interface: Assist in coordinating with various customs for shipments and returns, ensuring compliance with regulations.
- Proven experience in administrative roles, with a focus on accounting, labor law, and contract management.
- Familiarity with international labor laws, accounting practices, and business regulations in different markets.
- Strong organizational and multitasking abilities, with a keen attention to detail.
- Excellent communication skills, both written and verbal, in English; Italian language skills are a plus.
- Proficiency in Microsoft Office and management systems for invoice control and reporting.
- Ability to work independently and as part of a multicultural team.
- Strong problem-solving and mediation skills to handle complex administrative issues.
- Experience working in multinational companies or with international consultants.
- Knowledge of foreign accounting systems and tax regulations.
- Experience in managing personnel costs and payroll processes across different regions.
