To provide administrative, logistical, and compliance support to the engineering and project teams in dams and hydropower projects. The role ensures smooth office operations, supports HSE documentation, and maintains coordination across project units to achieve operational efficiency and regulatory compliance.
Responsibilities:
- Assist in preparing and distributing HSE documentation
- Track office and site HSE compliance documents
- Support filing and retrieval of HSE audits
- Schedule HSE planning and briefings
- Coordinate administrative HSE activities (e.g., PPE inventory, signage)
- Maintain compliance checklists and trackers
- Ensure timely submission of permits, reports, and certificates
- Support audits with admin records
- Assist in document control for ISO or regulatory compliance
- Maintain project calendar and reminders
- Arrange logistics for safety training (venue, invites, equipment)
- Maintain training records and attendance
- Assist in preparing training materials
- Coordinate with trainers and participants
- File evaluation reports and certificates
- Serve as admin support to the engineering team
- Schedule meetings and prepare minutes
- Coordinate internal and external communications
- Track staff movement and timesheets
- Support travel and logistics for field staff
- Maintain and update project document logs
- Support preparation of weekly/monthly reports
- Organize and archive project files (soft and hard copies)
- Format and proofread engineering reports
- Maintain document templates and trackers
- Maintain and update project document logs

Qualifications:
- Bachelor’s Degree in Civil Engineering, Business Administration, or related field
- Knowledge in Finance matters
- Basic HSE training certification
- Training in Document Control or ISO Management Systems
- 5 years of experience in project or construction administration
- Experience supporting multidisciplinary project teams
- Working knowledge of project documentation and control systems
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook)
- Excellent organizational and time management skills
- Good written and verbal communication
- Knowledge of project file management and compliance
