Your Role

As a Administrative Assistant, you will:

  • Key Performance Indicators (KPIs) Metrics - Updates enterprise management development system (EMDS) boards, department KPIs, individual KPIs, dashboards, Hoshin information, Cross-Training Matrices (CTM), and others as needed.
  • Payroll and Scheduling - Updates schedules, processes sick time, bereavement, Paid Time Off (PTO), missing and new hire punches, vacation, holiday pay, light-duty, and other payroll adjustments.
  • Calculates bonuses for payout, processes off-road payment in AS400, and tracks and archives paperwork as needed
  • Development and Recognition programs - Maintains different programs across the company such as suggestion system, corrective action program (CAP), performance improvement program (PIP), tuition reimbursement, learning library, and more.
  • Payment Processing - Processes payments for traffic violations, invoice payments, petty cash, and gift cards distribution.
  • Events - Coordinates events such as happy hours, quarterly meetings, and holiday parties for all departments. Orders food, books rooms, creates presentations, creates visuals, etc. for every department.
  • Projects - Works collaboratively with the Project Assistant to schedule special projects. Helps
  • management with testing and implementing new programs and creates reports and KPI’s as needed
  • Transportation & Lodging - Manages CITY furniture transportation and lodging programs and assists administrative supervisors with additional travel arrangements, including flights and conferences.
  • Miscellaneous Tasks - Helps maintain corporate 5S standards, reorders office supplies, prints materials for projects, documents procedures, assists with meeting set-ups, and other ad hoc tasks.
  • Corporate Switchboard - Answers the corporate office's main telephone number, operates a multi-line switchboard, obtains basic information to correctly direct calls according to established guidelines and procedures.
  • Problem Solving & Coaching - Works cross-functionally with team members to learn and improve on processes.
  • Reporting Structure
    • This position reports directly to the Administrative Supervisor and is a member of the Administrative Department.
  • Financial Transaction Responsibilities
    • This position works closely with the Accounting department and is responsible for preparing financial transactions for approval by department leaders. This role is responsible for the reconciliation of financial transactions, such as credit card statements. This position is responsible for cash transactions, such as petty cash.
  • Decision-Making Responsibilities
    • This position follows standard procedures and requires approval from the Administrative Supervisor for decision making responsibilities.
  • Confidentiality
    • This role performs tasks with confidential Associate information and other company-sensitive information. It is required to exercise a high-degree of care to prevent disclosure to others.
What You Need

Non-negotiables

  • At least one (1) year of previous administrative experience
  • Computer Knowledge and Skills:
    • Proficient in Microsoft Office (Excel, Word, PowerPoint, Visio, and Outlook)
    • Google Suite (Docs, Sheets, Slide, Forms)
