Job Summary
The Administrative Assistant is responsible for providing administrative and clerical support to ensure efficient office operations, with a focus on managing company licenses and permits, overseeing building administration, and extending support to the Executive Assistant in day-to-day executive and management requirements. This position ensures regulatory compliance, smooth facility management, and contributes to the effective execution of executive-level tasks.

The Administrative Assistant is responsible for providing administrative and clerical support to ensure efficient office operations, with a focus on managing company licenses and permits, overseeing building administration, and extending support to the Executive Assistant in day-to-day executive and management requirements. This position ensures regulatory compliance, smooth facility management, and contributes to the effective execution of executive-level tasks.
Key Responsibilities
- Provide comprehensive administrative and clerical support to ensure efficient daily office operations.
- Assist in processing, securing, and monitoring company licenses, permits, and other regulatory requirements to maintain compliance with government agencies.
- Support in building and facility administration, including maintenance, utilities, housekeeping, and safety compliance.
- Coordinate with suppliers, contractors, and service providers for office and facility-related requirements.
- Provide direct assistance to the Executive Assistant in preparing documents, reports, presentations, and coordinating executive schedules and meetings.
- Maintain organized records, correspondence, and confidential company documents.
- Support other departments in administrative tasks and inter-departmental coordination.
- Perform other related duties and responsibilities as may be assigned by top management.
- Bachelors Degree in Business Administration, Management, or any related field.
- At least 12 years of relevant experience in administrative work, particularly in permit processing, facilities management, or executive support.
- Accredited Pollution Control Officer (PCO), or willing to undergo PCO training and accreditation.
- Knowledge of government compliance processes and documentation procedures.
- Strong organizational and time-management skills with attention to detail.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint).
- Trustworthy, professional, and able to handle confidential information.
- Able to work independently and manage multiple tasks effectively.
