Your Role

As an Administration Officer, you will play a crucial role in organizing essential administrative tasks to support our plumbing operations. Your primary responsibilities will include coordinating recycled water inspections, managing gas meter call-ups, organizing photo folders in Microsoft SharePoint, and sending daily task sheets to our workforce in the field. Other ad-hoc tasks might be required from time to time.

Key Responsibilities

  • Recycled Water Inspections:
    • Schedule and coordinate recycled water inspections
    • Track and follow up on inspection outcomes, ensuring that all required actions are completed and recorded.
  • Gas Meter Call-Ups:
    • Scheduling and follow-up of gas meter bookings
    • Maintain accurate records of gas meter appointments, updates, and related communications.
  • Organise Photo Folders in Microsoft SharePoint:
    • Maintain organized photo folders in Microsoft SharePoint for easy access and retrieval.
    • Ensure that all project photos are accurately tagged and categorized.
    • Regularly update and back up photo folders to prevent data loss and maintain organization.
  • Task Sheets Organisation:
    • Sending daily task sheets “Day Sheets” to our workforce with the correct information and attachments if required.
What You Need

Non-negotiables

  • Proven experience in an administrative or coordination role, preferably in the plumbing or construction industries.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite, particularly SharePoint Outlook and Microsoft forms
  • Ability to manage multiple tasks and prioritize effectively.

Preferred Skills/expertise

  • Confident in communicating with relevant authorities.
  • Confident in ability to follow up queries and act on requests.
  • Confident to ask questions if unsure about anything.
  • Must have administration experience, preferably in construction or trade industry.
