Role Purpose: The Strata Assistant plays a critical role in supporting the management and operation of strata properties, providing day to day support to Strata Managers, ensuring services are provided in accordance with company policies and relevant legislation. The role includes drafting and sending breach notices, remedial work letters, and other communications to clients and contractors, assisting with maintenance, preparing management documents, and supporting meetings. The Strata Assistant also provides essential support in managing a strata portfolio, liaising with owners, tenants, and contractors, and ensuring compliance with the Strata Schemes Management Act and other regulations. It is not the intention of the position description to limit the scope or accountabilities of the position but to highlight the most important aspects of the position. The aspects mentioned herein may be altered in accordance with the changing requirements of the role.

Key Areas of Accountability Area Activities/Tasks Strata Portfolio Management Assistance

  • Assist in the management of the Strata Portfolio in accordance with company policies and procedures.
  • Maintain all records and filing in accordance with relevant Acts, including the Strata Schemes Management Act. Correspondence & Documentation
  • Draft and send breach notices, remedial work letters, and other communications in a timely and accurate manner.
  • Prepare and issue Notice to Comply documents for Owners Corporations.
  • Generate and issue Section 184 Certificates.
  • Issue maintenance orders on behalf of Owners Corporations.
  • Prepare management agency agreements and assist in setting up new buildings. Client & Stakeholder Inquiries
  • Respond to client inquiries via phone, email, or in person, providing professional and efficient customer service.
  • Assist with maintenance of common property, including addressing complaints, general requests, maintenance issues, emergency repairs, etc.
  • Build and maintain strong relationships with owners, tenants, contractors, and other stakeholders. Repairs, Maintenance & Quotations
  • Coordinate repairs and maintenance activities, ensuring work orders are clear, precise, and completed on time.
  • Request quotations on behalf of Owners Corporations for required work and services.
  • Liaise with contractors and suppliers to ensure repairs and services meet the required standards. Meeting Support
  • Assist in the preparation and organisation of meetings, including attendance, vote counting, and minute-taking.
  • On rare occasions, the role may require attendance at meetings outside of regular office hours.
  • Chair meetings when a Strata Manager is not available, ensuring that all decisions are accurately recorded and actions are taken

Financial Assistance

  • Assist with the payment of invoices to tradespeople, with committee and manager’s approval. Functional Requirements & Location: Functional Must have capacity to meet the physical demands of the role, including but not limited to:
  • Regular sitting, standing and walking.
  • Able to navigate stairs, including walking up and down as required.
  • Perform basic housekeeping tasks such as bending, reaching, squatting, and lifting. Location The location of this position may change based on business needs. Neighbourly reserves the right to modify the work location or require employees to work from different locations or remotely, as determined by the Neighbourly’s operational requirements. Essential Requirements

Experience

  • Previous experience dealing directly with clients, addressing inquiries, and providing high-level customer service. Communication Skills
